Job Purpose

The Department of Social Development, Western Cape Government has an opportunity for a self-motivated and competent individual to render administrative support service This post is based in Cape Town, CBD.

Key Performance Areas

Render general administration support services:
Record, organise, store, capture and retrieve correspondence and data(Line function);
Update registers and statistics;
Handle routine enquiries;
Make photocopies and receive or send correspondence;
Distribute documents/packages to various stakeholders as required;
Keep and maintain the filing system for the component;
Type letters and/or other correspondence when required;
Keep and maintain the incoming and outgoing document register of the component;
Receive, document and distribute of all incoming mail and documents. Provide supply chain clerical support services within the Chief Directorate:
Liaise with internal and external stakeholders in relation to procurement of goods and service;
Obtain quotations, complete procurement forms for the purchasing of standard office items;
Stock control of office stationery;
Keep and maintain the asset register of the component. Provide personnel administration clerical support services:
Maintain a leave register for the Chief Directorate;
Keep and maintain personnel records in the Chief Directorate;
Keep and maintain the attendance register of the Chief Directorate;
Arrange travel and accommodation.

Provide financial administration support service in the Component:
Capture and update expenditure;
Check correctness of subsistence and travel claims of the officials and submit to the management for approval;
Handle telephone accounts and petty cash for the component.

Knowledge of the following

Clerical duties, practices as well as the ability to capture data, operate computer and collecting statistics;
Understanding of the legislative framework governing the Public Service;
Working procedures in terms of the working environment.

Remuneration

R 237 453 - R 279 708 per annum (Salary level
5)

Note on remuneration in addition service benefits or obligations for qualifying employees (medical assistance, housing assistance, pension-fund contributions, etc) are funded or co-funded in terms of the applicable prescripts or collective agreements.

Notes

Shortlisted candidates will be required to attend interviews on a date and time determined by the department and submit documentation for verification purposes and criminal record vetting. All shortlisted candidates shall undertake two pre entry assessments. One will be a practical exercise to determine a candidate’s suitability based on the post’s technical and generic requirements and the other must be an integrity (ethical conduct) assessment.
