Job Purpose

To provide administrative support to the Manager:
Research Uptake, ensuring the effective and efficient rendering of a quality service by way of handling correspondence, accurate data capturing, database administration, organising and phone coverage in support of the research uptake portfolio. The incumbent will, at times, also contribute administrative support to the International Relations team as required. To work as a team member contributing to the department's wider activities, which require team support including but not limited to applications, registrations, graduations and Cape Peninsula University of Technology's Open Days, as well as other administrative duties as requested by the Director:
Strategic Initiatives and Partnerships and the Manager:
Research Uptake.

Job Knowledge, Skills and Experience

  • At least 2 years' relevant administrative experience in a higher education environment, preferably within a research or international relations environment.
  • Experience working with the ITS system.
  • Advanced computer literacy, including working knowledge of the MS Office Suite (Word, Excel, PowerPoint and Outlook).

Recommendations:

  • A National Diploma in Office Management and Technology or an equivalent qualification.
  • A valid Code B driver's licence with a PDP (Professional Driving Permit).

Key Performance Areas / Principal Accountabilities

  • Provide administrative support to the Manager:
    Research Uptake, including diary and meeting management.
  • Handle correspondence and logistical support for research chairs, focus areas and strategic research partnerships.
  • Administrative support for research partnerships and forums, assisting with the coordination of meetings, forums and events (locally, regionally, nationally and internationally) related to research collaboration and partnership initiatives.
  • Database and ITS tasks, collating, checking and updating information relevant to research chairs, partnerships and collaborations to ensure accurate, up-to-date data.
  • General office operations, including ordering stationery, maintaining stock, receiving visitors and ensuring the full functionality of office equipment.
  • Reception, correspondence and liaison, including receiving and distributing mail and emails, typing of memoranda and letters, photocopying, and liaising with internal RTIP portfolio members, faculties and external stakeholders on routine administrative matters.
  • Filing and records administration, organising, filing and retrieving records and documents related to research uptake and partnership activities.
  • Support to the International Relations team, providing administrative assistance as and when required, including correspondence, data capturing and coordination tasks related to international partnerships and exchanges.
  • Team-/departmental support, including attending to students' and staff's queries and participating in department activities such as registrations and graduations.
  • Other administrative duties as requested by the Director:
    Strategic Initiatives and Partnerships and the Manager:
    Research Uptake.
