Job Summary:
The Receptionist at Guest House/Apartment Complex serves as the first point of contact for guests and visitors, providing a warm welcome and ensuring a smooth and pleasant experience during their stay. This role involves managing front desk operations, handling inquiries, assisting with reservations, and supporting day-to-day administrative tasks.
Key Responsibilities:
- Greet and welcome guests upon arrival with a friendly and professional demeanor.
- Assist guests with the check-in and check-out process, ensuring all information is accurately recorded.
- Respond to guest inquiries and requests, both in person and via phone or email, promptly and efficiently.
- Provide information about the property, local attractions, dining options, and transportation services.
- Address and resolve guest issues or complaints in a timely and courteous manner.
- Ensure all guest information is accurately entered into the system and updated as necessary.
- Manage room availability and coordinate with housekeeping to ensure rooms are ready for guests.
- Keep management informed of any guest feedback, complaints, or unusual situations.
- Maintain a log of daily activities, guest interactions, and any incidents for reporting purposes.
Qualifications:
- Previous experience as a receptionist or in a similar role, preferably in hospitality or property management.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Proficiency in using computer systems, including booking software and Microsoft Office.
- Ability to work independently and handle various tasks with minimal supervision.
- Professional appearance and demeanor.
- Flexibility to work various shifts, including evenings, weekends, and holidays.
Working Conditions:
- Reception desk environment, requiring long periods of sitting or standing.
- Interaction with guests, staff, and vendors in person, over the phone, and via email.
- May require occasional lifting of light items, such as luggage or packages.
