As a member of the Pep PMO, the Project manager will be responsible for the end-to-end management of large cross-functional (Business, IT Partners and External Parties) strategically prioritised projects within one or more portfolios within the Pep Business.

The Project manager will need to Lead delivery of technology projects by translating business needs into technical scope, coordinating technical teams (3rd Party/IT Partners/Internal ), and ensuring technical readiness for go-live/cutover/migration.

All aspects of a project will need to be managed throughout its life cycle, communicating progress to all stakeholders and managing project risk, budget and timelines contributing to key services provided by the PMO.

Key Responsibilities:

  • Project management

    • Technical Project Management:

      • Manage project proposals, project unpacking & business case, resources and functional dependency analysis

      • Drive technical scope definition and delivery and ensure projects adheres to architecture blueprints

      • Ensure solution readiness (testing, cutover plan(s), rollback plan(s), communication, operational handover pack)

      • Plan all aspects of a project and capture the results in a comprehensive Project Management Plan (SOW & Project Plan) - approved by the project sponsor (Business).

      • Manage project execution (resources; timelines; budgets; phase/project milestones; identify cross functional project teams; metrics for project success; ROI; risk management etc)

    • Portfolio Management:?

      • Manage one or more Business portfolios of projects and communicate progress to relevant stakeholders.

      • Monitor the alignment of appropriate solutions with the business strategy monitored within the PMO.

      • Facilitation of the process to gather project information for the building and configuration of the project portfolio

      • Provide guidance to the business on the development of business cases for projects.

      • Build and maintain project matrix for the prioritisation of projects within business portfolio

    • Directing and managing project execution:

      • Scheduling and chairing of project status meeting

      • Managing the standard day-to-day of a project ( JIRA tickets, Meeting schedules, Stakeholder communication, action lists)

      • Managing the expectations of Stakeholders by communicating the status of the project (Email and JIRA Commentary)

      • Assisting project resources in the delivery of projects by getting them the required information (ie Business Requirement Documents) that is needed to successfully complete the project.

      • Direct and manage project execution, including managing the performances of project team members and suppliers, in completion with project deliverables.

      • Run regular technical delivery checkpoints and stand ups (progress, blockers, defects, readiness).

      • Applying Change Management Strategies:
        Manage project scope applying formal change management for all changes (increase or reduction) to the previously agreed project baseline.

    • Master Project Documentation and best practice:

      • Review and advise on the documentation of best practices and lessons learned from the project to improve future project management efforts.

      • Analyse and assess own as well as others project documentation, including Project Plans, Statement of Work (SOW), Exception reports, project progress reports, and other relevant project records within the portfolio's managed within the PMO.

    • Stakeholder Communication:

      • Communicate the status and performance of a project on a weekly basis to the appropriate stakeholders (External and Internal)

      • Scheduling and chairing of Steerco meetings – Create agendas, Steerco slides, maintain a risk & decision log and provide action items

        • Send required updates and reports to both internal and external stakeholders.

      • Management of any issues or escalations – Risks, resources, timelines, clashes/dependencies - RAID (Risks, Assumptions, Issues and Dependencies):

        • Analyse and evaluate project risks and issues, and assist in finding resolutions.

        • Escalate technical and capacity risks early with impact + mitigation.

    • Project Closure (Handover):

      • Initiate the handover of follow-up tasks to relevant stakeholders, both internal and client-side, for seamless post-project activities.
