Alumni Engagement Coordinator

Dickinson College is a premier four-year residential liberal arts institution chartered in 1783 and widely recognized as a leader in global and sustainability education. Dickinson College is located in Carlisle, named a "most livable city" by Forbes and is minutes from the state capital of Harrisburg. The campus is connected to a vibrant downtown that offers eclectic dining, shopping and entertainment options.

Within a two-hour drive are Philadelphia, Baltimore and Washington, D.C.;
New York City is three hours away.

The Alumni Engagement Coordinator, reporting to the Assistant Vice President for Alumni Engagement, works collaboratively with the Alumni Engagement team and division partners to provide the necessary support to meet yearly engagement and revenue goals. The Coordinator assists with virtual and in-person event management for the division of College Advancement, and coordinates the day-to-day operational duties of the Alumni Engagement staff in a fast-paced office setting.

The ideal candidate will be able to manage multiple projects, learn new technology and data processes and provide excellent customer service to Dickinson's 28,000 alumni, parents and friends of the college. A resume and cover letter are required from all applicants.

Essential Functions
  • Think critically, strategically and creatively about the tasks and processes of Alumni Engagement programs. Support the team's efforts to meet yearly engagement, financial and participation goals.
  • Coordinate College Advancement virtual, regional and on-campus programs and events for alumni, parents and other constituents. Responsibilities include creating online registration forms, managing the registration database, creating event materials, pre and post-event reporting, revenue management and managing registration support.
  • Work closely with the Alumni Engagement team during Homecoming & Family Weekend and Alumni Weekend. Manage the registration process, housing, web updates and guest support. Assist with student and staff training for major programs.
  • Assist with Alumni Engagement Volunteer management, including volunteer coding, stewardship, and communications. Support the Alumni Council through on campus meeting coordination and communication.
  • Manage the Dickinson Alumni social media accounts, including content creation and scheduling.
  • Provide excellent customer service and support through the department phone lines, email accounts and at on-campus programs.
  • Support the Alumni Engagement team through managing calendars, scheduling meetings, creating agendas and meeting minutes, and handling data entry.
Other Duties and Responsibilities
  • Serve as a resource for department initiatives.
  • Assist with additional division projects as needed.
  • Perform both night and weekend work as needed.
  • Other duties as determined or assigned.
Supervision
  • Not responsible for supervising others.
Education/Requirements
  • High school diploma or GED, required.
  • Ability to work independently and as a member of a team, to prioritize work and meet deadlines while maintaining a positive attitude.
  • Ability to work thoughtfully in a fast-paced and ever-changing work environment.
  • Excellent oral and written communication skills.
  • Strong organizational skills.
  • Strong interpersonal skills, including diplomacy, tact, maturity, and discretion.
  • Comfort in learning and managing new technologies.
  • Ability to handle confidential materials and situations with sensitivity and discretion.
  • Calendar-driven to meet all deadlines.
  • Ability to carry out multiple activities/projects concurrently.
  • Computer software/technology skills (Microsoft Office Suite, Adobe, Jardu, and Raiser's Edge).
Experience
  • 1 to 3 years of relevant experience.
Work Environment
  • Office environment/no specific or unusual physical or environmental demands.

Equipment/Tools Used

  • Standard office equipment including computer, copier/printer/scanner, phone, etc.
