Duties and Responsibilities
  • Handle daily client communications, including managing billing inquiries, resolving client issues, and leading collections efforts by following up on declined or overdue payments to ensure timely resolution and payment.
  • Support day-to-day accounting operations, including accounts payable, accounts receivable, and general ledger activities.
  • Partner with the Director of Finance to maintain accurate financial records and support ongoing accounting operations.
  • Prepare and process bi-weekly payroll, ensuring employee information, compensation changes, and benefit deductions are accurate and up to date.
  • Resolve payroll discrepancies and respond to employee payroll-related inquiries in a timely and professional manner.
  • Manage accounts receivable processes, including invoicing support, payment application, and collections follow-up.
  • Reconcile the accounts receivable ledger to ensure all payments are accurately recorded and posted.
  • Identify and resolve client billing discrepancies while maintaining positive working relationships.
  • Perform accounts payable functions, including verifying, classifying, and recording invoices and processing payments.
  • Reconcile the accounts payable ledger to ensure all vendor obligations are properly recorded.
  • Support month-end close activities, including account reconciliations, data validation, and assisting with journal entries.
  • Provide support within Quick Books, including maintaining accurate records, troubleshooting basic issues, and assisting with system updates or cleanup efforts.
  • Assist with payroll year-end processes, including preparation and distribution of W-2 forms.
  • Identify process inefficiencies and recommend improvements to enhance accuracy and efficiency across accounting and payroll functions.
  • Assist with special projects and additional duties as required.
Qualifications
  • 5+ years of experience in accounts payable, accounts receivable, payroll administration, or related accounting functions.
  • Experience with accounting systems, Quick Books preferred
  • Strong knowledge of applicable accounting principles, multi-state payroll laws, regulations, and reporting deadlines.
  • Advanced proficiency with Microsoft Excel and working knowledge of Microsoft Word and Adobe Acrobat.
  • Exceptional attention to detail with the ability to manage multiple priorities and shift between tasks effectively.
  • Demonstrated ability to exercise sound judgment and work independently with minimal supervision.
  • Strong organizational and time management skills.
  • Ability to collaborate effectively with cross-functional teams while maintaining accountability for individual responsibilities.
  • Excellent written and verbal communication skills across all levels of the organization and with external partners.
  • Strong business acumen and ability to handle sensitive financial information with discretion.
