Role SummaryWe’re looking for a highly capable Executive Assistant who can keep the founder and team organizedandactively help run day-to-day operations. This is not a “calendar-only” EA role. You’ll be in the middle of the business: coordinating tasks, handling admin + ops, following up with customers/partners, and making sure things actually get done.
You’ll be trusted with real responsibility and expected to operate with high judgment, speed, and professionalism.
Key Responsibilities Executive Support- Manage calendar, scheduling, reminders, and meeting logistics
- Own inbox + follow-ups: draft replies, organize threads, keep response times tight
- Prepare agendas, notes, action items, and ensure tasks get executed
- Handle travel, appointments, and personal admin tasks as needed
- Track priorities across product, support, partnerships, and internal ops
- Coordinate with contractors and team members (dev, support, marketing, etc.)
- Create and maintain simple SOPs/checklists for recurring workflows
- Light finance admin: receipts, invoices, vendor follow-ups (not bookkeeping)
- Help manage support escalations and coordinate resolutions internally
- Assist with partner onboarding and integration coordination
- Maintain clean records of key accounts, renewals, and important conversations
- Local errands, pickups/deliveries, equipment runs, office-related tasks
- Occasional in-person meetings or assisting with logistics as needed
(This role requires a dependable vehicle and comfort driving regularly.)
What Success Looks Like (First 60–90 Days)- Founder’s calendar/inbox becomes calm, organized, and proactive
- No important task gets dropped; action items have owners + deadlines
- Support/customer follow-ups are tight, professional, and tracked
- Recurring operational headaches get documented into SOPs and streamlined
- You anticipate issues before they become problems
- Valid driver’s license + reliable vehicle
(driving is required) - Extremely organized with strong follow-through and attention to detail
- Strong written communication (you’ll be drafting messages often)
- Comfort working in a fast-changing startup environment
- Tech comfortable:
Google Workspace, Slack, task management tools, basic troubleshooting - Comfortable using AI
- Experience in SaaS, support operations, or B2B tech
- Experience as an EA, ops coordinator, chief-of-staff assistant, or similar
- Familiarity with CRM workflows
- Comfortable handling light customer communication and coordination
- Basic understanding of APIs/integrations (not required, but helpful)
- Proactive: you don’t wait to be told twice
- High judgment: you can prioritize and protect time wisely
- Calm under pressure, fast with execution
- Resourceful and independent, but great at keeping stakeholders informed
- Discretion and professionalism with sensitive info
