What You’ll Be Doing

As a Project Coordinator you have the opportunity to take part in the planning and building of one-of-a-kind projects – an opportunity we’d love for you to take part in!

As a Project Coordinator, you will be primarily responsible for performing a variety of administrative and programmatic duties for multiple development projects in support of the project management team. You will work directly with a Project Manager and field Superintendent who will rely on your attention to detail, timeliness, organization and shared-goal of seeing positive results.

Additionally, your tasks will include, but not be limited to:

  • Preparing fiscal, administrative, and operational reports
  • Acting as a key point of contact for subcontractors and vendors
  • Preparing and processing contracts with required exhibits, contract award packages during the buyout process and with an understanding of specific uses for each type of contract agreement
  • Creating exhibits and logs including schedule of values, sequence sheet, list of drawings, tracking logs and other related documents
  • Performing all data inputting and reporting functions including contracts, change orders, submittals, RFIs and other related reporting and data entries
  • Maintaining consistent project folder setup and filing system
  • Uploading construction documents to plan room and direct project team
  • Scheduling meetings, preparing agendas, and recording meeting minutes for recordkeeping and distribution
  • Preparing draw packages, frame walk packages, and other relevant project documentation, including filing man-count and daily reports from field staff
  • Submitting meter applications as directed by project team
  • Maintaining construction recycling spreadsheet and ticket spreadsheet
  • Preparing and distributing bid invitations and tracking feedback
  • Conducting the subcontractor prequalification process
  • Preparing project closeout and warranty documents

What You’ll Need to Perform the Role

You’ll use the following to be successful in this role:

  • 2+ years of construction industry experience (any trade welcome – general, electrical, plumbing, carpentry, engineering, HVAC)
  • 2+ years of administrative experience in a related industry, including direct experience inputting and tracking information, such as documents, reports, and other information, in an automated system
  • Proficiency in Microsoft Office (Word, Excel, SharePoint, and Outlook)
  • Proven ability to effectively research and troubleshoot problems whether it be technical and/or procedural
  • Comprehensive understanding of construction SOPs including the purpose and impact of procedures

It would be preferable for you to have:

  • Experience in residential and/or light commercial construction (even more of a plus – affordable housing or multi-family)
  • Associate degree in business or a construction-related field
  • Experience using Procore and/or Bluebeam

You’ll also need the following attributes:

  • Extremely organized with ingrained ability to prioritize and multi-task in a fast-paced environment
  • Keen attention to detail with focused adherence to strict deadlines and procedures
  • Sound problem-solving skills with demonstrated ability to exercise sound independent judgment
  • Teamwork mindset to work effectively with a diverse group of people
  • Effective ability to communicate clearly and concisely, both in verbal and written forms
