Job Summary

Our client is seeking an Administrative Assistant II to join their team! This position is located in Carlsbad, California.

Core Responsibilities
  • Process and maintain employee timekeeping records with a high level of accuracy
  • Ensure payroll deadlines and pay period closings are completed accurately and on time
  • Provide administrative support to department leadership and staff
  • Schedule meetings, coordinate calendars, and maintain department schedules
  • Prepare reports, logs, spreadsheets, and other business documentation
  • Answer phones, greet visitors, and direct inquiries appropriately
  • Maintain electronic and physical filing systems
  • Coordinate office supplies, mail distribution, and general office operations
  • Assist with financial record keeping and other administrative reporting as needed
  • Support special projects and perform additional administrative duties as assigned
  • Maintain confidentiality of employee and business information
Required Skills/Experience (Must-Haves)
  • High School Diploma or GED required
  • 2+ years of administrative support experience
  • Experience with timekeeping, payroll support, or workforce scheduling is strongly preferred
  • Proficiency in Microsoft Office Suite (Excel, Outlook, Word, and PowerPoint)
  • Strong organizational, communication, and multitasking skills
  • Excellent attention to detail with the ability to meet strict deadlines
  • Ability to work independently and manage changing priorities
Preferred Skills/Experience (Nice-to-Haves)
  • Experience supporting operations, field services, utilities, construction, or similar environments
  • Experience maintaining employee records, schedules, and operational logs
  • Previous experience in a high-volume administrative environment

Compensation & Benefits

Pay Range:
The approximate pay range for this position is between $18.00 and 23.00 per hour. Please note that the pay range provided is a good faith estimate. Final compensation may vary based on factors including but not limited to background, knowledge, skills, and location. We comply with local wage minimums.
