Key Responsibilities
- Provide day-to-day administrative support to the Director of Business Operations.
- Prepare correspondence, reports, presentations, and other business documents.
- Coordinate domestic and international travel arrangements for team members.
- Support tender preparation and submission processes.
- Maintain accurate customer records, quotations, orders, and communications in Salesforce (CRM).
- Provide administrative support for general office operations and special projects as assigned.
- Serve as a backup for warehouse and logistics activities when needed, including coordinating shipments, supporting inventory-related tasks, and assisting with order fulfillment.
- Assist the sales and service teams with administrative and logistical needs.
- Perform additional administrative duties as assigned by the Director of Business Operations.
Preferred Skills
- Experience with import/export documentation.
- Inventory management experience.
- Ability to analyze operational processes and recommend improvements.
Qualifications
- Associate's or Bachelor's degree, preferably in Business Administration or a related field.
- Minimum of 3 years of administrative experience.
- Experience in a customer-facing or customer service role is an advantage.
- Proficiency in Microsoft Office and general computer applications; experience with CRM systems (Salesforce preferred) is an advantage.
- Excellent written and verbal communication skills.
- Strong organizational skills with exceptional attention to detail.
- Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
- Self-motivated, proactive, and able to work independently with minimal supervision.
- Positive attitude, flexibility, and a strong customer-service mindset.
- Willingness to support cross-functional activities, including warehouse and logistics operations when required.
- Must be authorized to work in the United States.
