Administrative Assistant IV – Electric Regional Operations
Location: San Clemente, CA
Schedule: Hybrid (Onsite Monday–Thursday | Remote Friday after training)
Hours: 7:00 AM – 3:00 PM
Duration: 2-Year Contract with Strong Potential for Conversion
Pay Rate: $35–38/hour (W-2)
Join a leading utility company supporting the Electric Regional Operations team. This role provides high-level administrative and operational support to Operations & Engineering leadership while helping coordinate field operations, scheduling, documentation, and compliance activities. This is an excellent opportunity for an experienced administrative professional who enjoys working in a fast-paced, team-oriented environment where organization, accuracy, and communication are critical to daily operations.
Key Responsibilities- Provide administrative support to the Operations & Engineering Supervisor and Electric Regional Operations team.
- Coordinate and maintain the Electric Troubleshooter schedule, ensuring appropriate staffing coverage and workload prioritization.
- Process and track customer and third-party damage reports while maintaining accurate documentation and timely follow-up.
- Coordinate ETS pre-arranged customer service requests and monitor job status to ensure service commitments are met.
- Track ETS AED inspections and maintain compliance records, ensuring required follow-up activities are completed.
- Support departmental safety meetings by preparing agendas, taking meeting minutes, distributing documentation, and tracking action items.
- Perform data entry, reporting, records management, correspondence, and other administrative support functions.
- Assist with special projects and additional operational support as needed.
- High school diploma required.
- Bachelor's degree required, or currently pursuing a Bachelor's degree.
- Previous administrative support experience in a fast-paced office environment.
- Strong proficiency with Microsoft Office, particularly Excel, Outlook, and Word.
- Excellent organizational skills with the ability to manage multiple priorities and deadlines.
- Strong written and verbal communication skills.
- Detail-oriented with excellent follow-through and documentation accuracy.
- Ability to collaborate effectively with supervisors, engineers, field personnel, customers, and cross-functional teams.
- Organization & Scheduling Management: Experience coordinating schedules, balancing multiple priorities, and maintaining organized records.
- Administrative Accuracy & Attention to Detail: Strong documentation, data entry, compliance tracking, and follow-up skills.
- Communication & Collaboration: Ability to work effectively with field teams, leadership, customers, and multiple departments while maintaining professionalism and responsiveness.
- The position begins fully onsite for training and transitions to a hybrid schedule (Monday–Thursday onsite, Fridays remote) once the employee is fully trained and comfortable with the responsibilities.
