The Office Assistant supports daily office operations and creates a welcoming environment for guests and team members. This part-time position is based at the reception desk and includes greeting visitors, answering incoming calls, and managing deliveries. The Office Assistant also supports a clean and well-stocked breakroom, places supply orders, and provides general clerical support to various departments as needed. This is an on-site role for 15-20 hours per week with hours worked over 3 weekday shifts from 8:00AM – 3:00PM

Essential Job Functions

  • Maintain office cleanliness, restock supplies and snack bar, and ensure an organized and tidy workspace
  • Greet visitors and answer calls to the main phone line.
  • Set up conference rooms for meetings.
  • Run errands such as picking up office supplies and lunch for meetings.
  • Enter and update team member information in ADP, including address changes and other demographic information.
  • Assist with scheduling of interviews, conducting phone screens, and organizing talent acquisition documents.
  • Support benefits administration tasks, such as waiver processing, enrollment updates, and benefits communications.
  • Provide mailing support by creating labels, assembling mailers, and ensuring timely delivery to the postal office. Additionally, will also follow up on returned mail to ensure proper contact information.
  • Assist with Human Resources filing, including maintaining accurate electronic and physical team member records.
  • Complete Verification of Employment (VOE) requests.
  • Provide general project support to the Human Resources team as needed.
  • Assist with the planning and coordination of team events.

Qualifications

  • High school diploma or GED equivalent
  • Reliable transportation, a valid driver’s license, and current car insurance
  • Strong professional communication skills, both written and verbal
  • Proficiency with Microsoft Office applications, such as Outlook, MS Word, and MS Excel.
  • Detail-oriented, with strong proofreading skills and the ability to review work for accuracy and completeness
  • Resourceful, proven problem-solving skills, and the ability to adapt quickly to new situations.
  • Willingness to learn and use a variety of software applications, including ADP WFN, SharePoint, Indeed, and Survey Monkey

Physical Requirements of the Position

  • This position operates in a professional office environment with standard office equipment.
  • While performing the duties of this job, the team member is regularly required to:
  • Sit or stand for extended periods of time.
  • Use hands and fingers to operate a computer keyboard, mouse, and phone.
  • Communicate verbally and in writing
  • Occasionally lift office supplies up to 15 pounds.
  • Occasional driving for errands is required; mileage reimbursement is provided.
