Position OverviewSun Country Builders is seeking a friendly, organized, and detail-oriented Administrative Assistant to join our team. This position serves as the first point of contact for visitors, clients, vendors, and employees while providing essential administrative support to the office and executive team. The ideal candidate will possess excellent communication skills, strong organizational abilities, and the capacity to manage multiple tasks in a fast-paced construction environment.
This role is critical to ensure efficient office operations and maintaining a professional and welcoming atmosphere.
- Greet and assist guests, visitors, clients, and vendors in a professional manner
- Maintain a welcoming, clean and organized reception area
- Manage incoming and outgoing mail, deliveries, and correspondence
- Answer, screen, and route incoming telephone calls and respond to general inquiries accurately and promptly
- Perform general administrative and clerical duties
- Coordinate calendars, schedule meetings, and assist with travel arrangements
- Coordinate company meetings, training sessions, employee-recognition activities, client events, and other company functions
- Assist with meeting preparation, including agendas, presentation materials, refreshments, technology setup, and follow-up items
- Help maintain administrative procedures, reference materials, templates, and checklists; recommend improvements that increase consistency and efficiency
- Support new-employee onboarding by helping prepare work spaces, welcome materials, supplies, access requests, and first-day logistics.
- Maintain physical and electronic filing systems & storage maintenance
- Assist with data entry and recordkeeping
- Support various departments with administrative tasks as needed
- Support company functions and special projects
- Run office-related errands as needed or required
- Assist with office supply inventory and ordering while keeping within budget
- Help ensure efficient day-to-day office operations
- Provide administrative support to management and project teams
- Positive attitude with professional customer service skills
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and Teams
- Ability to multitask effectively while maintaining attention to detail
- Team player with ability to get along with and respect others
- Construction industry knowledge
- Familiarity with construction terminology and office procedures
- Experience supporting multiple departments or executives
- Knowledge of document management and filing systems
- High school diploma or equivalent required
- Prolonged periods sitting at a desk and working on a computer
- Frequent use of hands and fingers for data entry and document handling
- Ability to communicate effectively in person, via phone, and through email
- Occasionally required to stand, walk, bend, or reach
- Ability to lift up to 15 pounds occasionally
