Position Overview

Ultimate Staffing Services is actively seeking a dedicated Customer Service / Order Processing Specialist to join a vibrant team in California. This role involves providing essential administrative and operational support to the inside sales team and customers throughout the complete order lifecycle. The ideal candidate will ensure exceptional customer experience from order entry and processing to warranty support and invoicing.

Responsibilities
  • Serve as the primary point of contact for customers, providing prompt and professional assistance.
  • Support inside sales representatives by processing orders accurately and efficiently.
  • Track shipments and coordinate logistics to ensure on-time delivery.
  • Manage warranty claims, returns, and product-related concerns.
  • Generate and process invoices; maintain accurate records.
  • Collaborate with cross-functional teams to resolve customer issues quickly and effectively.
  • Maintain and update records in Microsoft Dynamics Business Central and other systems.
  • Utilize Microsoft 365 tools (Outlook, Teams, SharePoint, One Drive) for communication and file management.
Qualifications

Experience & Qualifications:

  • Minimum 3 years of stable work experience in a manufacturing environment in a customer service, administrative, or inside sales support capacity.
  • Proven ability to manage order processing, logistics tracking, and warranty support.
  • Strong administrative skills supporting both customers and internal sales teams.
  • Excellent written and verbal communication skills, with a customer-focused mindset.

Technical Skills:

  • Proficient in Microsoft Office 365:
    Outlook, Teams, SharePoint, One Drive.
  • Prior experience with Microsoft Dynamics Business Central or similar ERP systems preferred.
  • Strong Excel skills (pivot tables, data analysis a plus).

Education Requirement: High School Diploma

Required Work Hours

Monday to Friday, First Shift

Competitive pay, with a salary range of $22 to $25 per hour, depending on experience.
