Client Service Representative

Position Overview

As a Veterinary Client Service Representative (CSR), you will be the first point of contact for our clients, both in person and over the phone. Your role will involve managing a busy front desk, scheduling appointments, handling client inquiries, and providing a supportive and empathetic experience for pet owners during their time of need. • Greet and check in clients with warmth and professionalism, ensuring a positive first impression.
• Manage a high volume of incoming phone calls and emails, addressing client questions, concerns, and appointment requests efficiently.
• Schedule and confirm appointments, including emergency and specialty visits, and handle patient records with accuracy and confidentiality.
• Process payments, including insurance claims and financial transactions, and provide clients with clear explanations of costs and billing procedures.
• Coordinate with veterinary staff to ensure smooth communication between clients and medical teams.
• Handle and resolve client concerns or complaints with tact and empathy, maintaining a high level of service.
• Maintain a clean and organized reception area, ensuring a welcoming environment for clients and their pets.
• Assist with administrative tasks such as data entry, filing, and inventory management as needed.

• Previous experience in a client service role, preferably in a veterinary or medical setting, is highly desirable.
• Exceptional communication and interpersonal skills, with the ability to interact effectively with clients, staff, and patients.
• Strong organizational and multitasking abilities, with a keen attention to detail.
• Ability to remain calm and composed in a fast-paced, high-pressure environment.
• Proficiency with office software and electronic medical records systems.
• A compassionate attitude towards animals and their owners.
• Flexibility to work various shifts, potentially including evenings, weekends, and holidays as required.
