RoleResponsibilities
- Travel Facilitation:
Coordinate and oversee complex travel arrangements for senior executives, including booking flights, hotels, ground transportation, and preparing comprehensive itineraries. Ensure all travel aligns with government policies, secures necessary approvals, and addresses last-minute changes efficiently. - Meeting and Presentation Facilitation:
Organize and manage executive meetings, both on-site and virtual. This includes scheduling, sending invitations, preparing agendas, compiling and distributing materials, arranging logistics, and facilitating technical setup for presentations. Record and follow up on action items as needed. - Corporate Documentation Facilitation:
Serve as the key point of contact for the development, review, and approval of official corporate documents. Track documentation through internal processes, coordinate input from stakeholders, and ensure timely completion while maintaining version control and confidentiality. - DOE Facility Tour Facilitation:
Plan and coordinate tours of DOE facilities for armor DOE executives, partners, and guests. Responsibilities include arranging schedules, securing permissions and clearances, preparing briefings, and ensuring all logistical details are managed for a seamless experience. - Facilitate all executive calendars and prioritize scheduling conflicts.
- Act as liaison between executives, staff, and external contacts.
- Prepare and process expense reports and reimbursements for executive travel and activities.
- Maintain a high level of discretion and confidentiality in all matters.
Due to the nature of the government contract requirements and/or clearances requirements, US citizenship is required.
