Village Clerk/Treasurer/Chief Procurement Officer
The Village Clerk/Treasurer/Chief Procurement Officer is the key administrative official of the municipal governance, responsible for administrative, financial, and public service functions to ensure the smooth operation of municipal governance. This role involves maintaining records, assisting with board meetings, and serving as a secondary point of contact for residents and officials. The position reports directly to the Mayor.
Key Responsibilities Administrative Responsibilities- Maintains the official records, including ordinances and resolutions.
- Prepare and distribute agendas, meeting minutes, and reports.
- Issue permits, licenses, and certifications in accordance with municipal regulations.
- Manage correspondence, responding to inquiries from residents and officials.
- Oversee office organization and provide general administrative support.
- Budget preparation, financial reporting, and expense tracking.
- Process payments, invoices, and payroll administration.
- Grant administration, reporting, and compliance.
- Annual Financial Audits.
- Maintain compliance with village financial regulations and policies.
- Organize village Council meetings, recording minutes and archiving records.
- Publish meeting notices and ensure compliance with transparency regulations.
- Prepare reports summarizing board discussions for public distribution.
- Serve as a liaison between residents and village officials.
- Draft newsletters, public notices, and social media updates.
- Support community outreach programs, events, and civic initiatives.
- Maintain positive communication with residents to address concerns.
- Organize and maintain village files, ensuring accuracy, accessibility, and security.
- Implement digital record-keeping solutions for efficiency.
- Records office supply inventory management and facility upkeep.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Experience in clerical or administrative roles preferred.
- Knowledge of village operations and legal procedures.
- Proficiency in office software and financial management tools.
- Reports directly to the mayor who has the responsibility of supervising all employees of the municipality.
- Full-time or part-time position based on village requirements.
