Duration: Permanent, Full-Time
Pay Rate: $110,000-$130,000 DOE
US Citizenship Required.
The Payroll Supervisor is responsible for managing and executing all aspects of payroll operations for SQUAN's multi-state workforce. This role requires a detail-oriented, hands‑on leader who can ensure payroll accuracy and compliance while driving process improvements, system integrations, and operational efficiencies. The Payroll Supervisor will collaborate with HR, Finance, and Operations to deliver timely payroll services, accurate reporting, and strong internal customer support.
Key ResponsibilitiesManage full-cycle, biweekly payroll processing, including union payroll, for a multi-state workforce.
Ensure compliance with federal, state, and local payroll regulations, including SIT/SUI account setup, garnishments, and payroll tax filings.
Partner with Finance on payroll‑related accounting activities, including reconciliations, month‑end close, and year‑end reporting.
Collaborate with HR and Finance to integrate payroll with HRIS and ERP systems, ensuring data accuracy and streamlined reporting.
Develop and deliver payroll reports and analytics for Finance, Operations, and leadership.
- Quarterly:
Form 941 filings, SIT/SUI reports, payroll tax reconciliations, benefit deduction reconciliations, and management reporting. - Annual: W‑2 and 1099 distribution, Form 940 filings, wage/tax reconciliations, ACA and EEO‑1 reporting, open enrollment setup, merit/bonus processing, and system updates.
Manage payroll and 401(k) audits.
Assist with external audits related to workers' compensation, and corporate financial audits.
Train and support managers and employees on payroll and timekeeping processes; serve as the primary point of contact for payroll inquiries.
Recommend and implement process improvements and new technologies to increase payroll efficiency and accuracy.
Other duties as assigned.
KeySkills and Abilities
Strong knowledge of wage and hour laws, payroll tax regulations across multiple state jurisdictions in the US, and compliance requirements.
Proficiency with payroll/HRIS systems (UKG a plus).
Demonstrated experience with payroll‑related accounting functions and audits.
Proven ability to lead system implementations and process improvements.
Excellent communication, customer service, and problem‑solving skills.
Minimum QualificationsBachelor's degree in accounting, business, or related field preferred.
8+ years of progressive payroll management experience with multi‑state operations.
Preferred QualificationsCPP (Certified Payroll Professional) certification.
