We are seeking a highly organized and detail-oriented Construction Project Accountant to support the financial administration of active construction projects from preconstruction through project completion.
This role serves as a critical link between project operations and accounting, partnering closely with Project Managers, Superintendents, Operations personnel, subcontractors, and company leadership to ensure project costs, commitments, subcontractor pay applications, owner billings, change orders, and financial reporting are accurately maintained throughout the life cycle of each project.
The ideal candidate has experience in construction accounting, enjoys working closely with project managers and subcontractors, and thrives in a fast-paced environment where organization, communication, and attention to detail are essential.
Project Accounting & Job Cost Management- Maintain financial records for multiple active construction projects.
- Review and monitor project costs to ensure expenses are properly coded to jobs, phases, and cost categories.
- Assist project managers with job cost tracking, budget monitoring, and project financial reporting.
- Review project cost activity and identify discrepancies, unusual transactions, and budget variances.
- Support project forecasting efforts by maintaining accurate cost information.
- Partner closely with Project Managers, Superintendents, and Operations personnel to support the financial success of active construction projects.
- Assist project teams in understanding project costs, committed costs, change orders, and overall budget performance.
- Participate in project review meetings and provide financial information to support decision-making.
- Work collaboratively with project teams to ensure costs, commitments, subcontractor pay applications, and owner billings are accurately documented and processed.
- Help identify potential project risks, budget variances, and cost discrepancies, and communicate findings to project leadership.
- Serve as a key resource between accounting and operations, helping ensure project financial information is accurate, timely, and actionable.
- Review, code, and process vendor invoices and subcontractor pay applications.
- Verify supporting documentation, approvals, insurance compliance, lien waivers, and contract requirements prior to payment.
- Maintain subcontract agreements, commitments, change orders, and related project documentation.
- Coordinate payment processing and respond to subcontractor and vendor inquiries.
- Assist in tracking retainage balances and release requirements.
- Assist with accounts payable processing for certain development entities maintained in Quick Books, including transactions involving affiliated development and construction companies.
- Prepare and process owner billings, including AIA G702/G703 applications for payment.
- Compile supporting documentation required for draw requests and project billings.
- Coordinate with project managers to ensure billing reflects current project progress and approved change orders.
- Track billing status, collections, and outstanding receivables.
- Assist with lender and owner draw submissions as required.
- Utilize Procore and Sage to support project accounting workflows.
- Review commitments, change orders, budgets, and pay applications within Procore.
- Ensure project activity is accurately reflected between Procore and Sage.
- Investigate and resolve discrepancies between project management and accounting systems.
- Assist with improving project accounting processes and system utilization.
- Assist with preparation of project financial reports and cost analyses.
- Support monthly project reviews with project management teams.
- Prepare reports related to project costs, commitments, billing, retainage, and profitability.
- Maintain organized project accounting files and supporting documentation.
- Assist with project-related financial inquiries.
- Procore (preferred; experience with commitments, change orders, budgets, and pay applications strongly desired)
- Sage 300 Construction and Real Estate, Sage Intacct Construction, or similar construction accounting software (preferred, or strong willingness and ability to learn)
- Quick Books (limited exposure; familiarity preferred for supporting certain development and related‑party entities)
- Construction project management and accounting systems
- Microsoft Office Suite and document management systems
- Bachelor's degree in Accounting, Finance, Construction Management, Business, or related field preferred.
- 3+ years of construction accounting, project accounting, or related experience.
- Strong understanding of construction accounting principles and job cost accounting.
- Experience processing subcontractor pay applications and vendor invoices.
- Familiarity with AIA billing, draw requests, retainage, and change order management.
