Responsibilities
- Welcome visitors, determine nature of business, and announce visitors to appropriate team members.
- Answer, screen, and direct phone calls and e-mails to team members; taking messages and scheduling appointments as needed.
- Receive mail, documents, packages, and courier deliveries. Distribute items to appropriate parties.
- Assist with event management for office holiday party and outings.
- Prepare mail and packages for shipping.
- Maintain telephone directory for assigned portfolio.
- Maintain office inventory and equipment by checking stock to determine inventory level, anticipating needed supplies, and placing orders.
- Perform administrative duties as needed including creating presentations, mailing, copying, or compiling materials.
- Perform basic filing and recordkeeping.
- Complete daily office opening and closure procedures.
- Proactively plan for time off and arrange for coverage of the receptionist area.
- High School Diploma is required.
- Previous administrative experience is preferred.
- Must adhere to regular office hours schedule, which is typically 8 am – 5 pm.
- Understanding of basic administrative and clerical procedures and systems.
- Must be proficient with Microsoft Office programs.
- Ability to be organized, detail‑oriented, and to work effectively in a fast‑paced environment.
- Ability to work cooperatively and respectfully with others.
- Must possess exceptional organizational and time‑management skills, including the ability to balance and prioritize simultaneous projects and tasks.
- Strong written and verbal communication skills are required.
- Must present the ability to execute job duties under stressful circumstances such as last‑minute deadlines or other difficult situations.
- Maintains a high level of confidentiality.
- Regular attendance, work ethic and strong interpersonal skills are required for success in this position.
- Must have a valid driver’s license and reliable transportation.
