The Agency Bill Team Lead is responsible for overseeing and actively performing agency bill accounts receivable and accounts payable functions within the insurance agency. This role is approximately 70% hands‑on processing and review and 30% team leadership and oversight. The position ensures accurate handling of insured payments, carrier and broker remittances, bank and trust account reconciliations, and overall trust accounting compliance, while leading and developing a small team of 2–3 agency bill specialists.
ROLES AND RESPONSIBILITIES:- Perform and review agency bill accounts receivable and accounts payable activities.
- Apply, review, and reconcile insured payments, including checks, ACH, credit cards, and premium finance payments.
- Process and review payments to carriers and brokers, ensuring accuracy, proper timing, and adherence to carrier agreements.
- Monitor outstanding receivables, aged balances, and collection activity.
- Review and resolve suspense items, unapplied cash, and posting discrepancies.
- Prepare and/or review monthly agency bill and trust account reconciliations.
- Prepare and review bank reconciliations for operating and trust accounts, ensuring timely completion and resolution of discrepancies.
- Ensure agency bill activity is accurately reflected in the general ledger.
- Research and resolve complex billing issues in collaboration with producers, operations, and accounting.
- Review and process refunds, write‑offs, and corrections in accordance with agency policy.
- Oversee and assist with premium finance company payments and reconciliations.
- Lead, coach, and support a team of 2–3 agency bill team members.
- Assign work, manage daily priorities, and ensure deadlines and service standards are met.
- Review work for accuracy and completeness, providing guidance and corrective feedback.
- Serve as the escalation point for complex or sensitive agency bill issues.
- Assist with hiring, onboarding, training, and performance management.
- Promote consistency, accountability, and accuracy across the agency bill function.
- Ensure compliance with trust accounting requirements and internal cash handling controls.
- Maintain strong controls over bank reconciliations, cash activity, and trust balances.
- Maintain strong internal controls to reduce errors, audit findings, and E&O exposure.
- Support internal and external audits by providing documentation and explanations related to agency bill activity and bank reconciliations.
- Identify opportunities to improve efficiency, accuracy, and scalability of agency bill and reconciliation processes.
- Maintain and update agency bill procedures and training documentation.
- Utilize the agency management system effectively; AMS
360 experience preferred. - Perform other related duties as assigned.
- Advanced knowledge of insurance agency bill workflows and accounting.
- Strong understanding of trust accounting principles.
- Experience preparing and reviewing bank reconciliations.
- Exceptional attention to detail and reconciliation skills.
- Ability to balance hands-on processing with team leadership responsibilities.
- Proven experience mentoring or leading a small team.
- Strong organizational and time management skills.
- Clear, professional written and verbal communication skills.
- 5+ years of experience in insurance agency accounting or agency bill operations.
- Prior experience in a lead or supervisory role.
- Experience with AMS
360 (preferred, not required). - Education requirement:
High school diploma or equivalent (GED) is required. College degree in Accounting, Finance or Business preferred, not necessary. - Familiarity with carrier payment schedules, audits, and agency agreements.
