People Operations & Office Manager

We are searching for a motivated, service-oriented team member who wants to be part of one of the leading Internet of Things (IoT) companies in the world. This highly visible, hands-on role supports our people and culture, manages the daily operations of our Carmel Headquarters, and coordinates Human Resources, Recruiting, Payroll, Events, and Administrative Activities. The ideal candidate enjoys helping others, building an engaging workplace, and keeping a growing organization running smoothly.

This position works onsite in Carmel, IN.

This role reports directly to the Chief Financial Officer (CFO) and partners closely with leaders and employees across the company.

Job Responsibilities
  • Oversee the daily operations of our corporate offices in Carmel, IN, including opening and closing the office and ensuring the workplace is secure, welcoming, and ready for employees and visitors each day
  • Serve as the first point of contact for office visitors, incoming calls, general inquiries, and employee office needs
  • Maintain common areas, conference rooms, televisions, office technology, and shared equipment so they are organized and functioning properly
  • Keep kitchens and snack areas stocked and orderly, including cleaning and maintaining coffee machines
  • Manage the office and company supply budget; purchase snacks, office supplies, and project materials; and enter purchase orders in the accounting system
  • Manage relationships with cleaning, delivery, shipping, safety, and other office vendors and service providers
  • Coordinate mail, shipping, receiving, deliveries, and related records
  • Maintain the company-wide calendar, including events, holidays, and employee activities
  • Plan and support company events, special meetings, employee gatherings, and company town halls
  • Facilitate employee-led Lunch & Learns, including scheduling, communications, logistics, and presenter support
  • Champion company culture and employee engagement by creating consistent, inclusive experiences that help employees feel connected, informed, and appreciated
  • Manage employee recognition programs and prepare company announcements celebrating birthdays, work anniversaries, new babies, new hires, and other employee milestones
  • Manage employee onboarding and all employee separations, including voluntary resignations and involuntary terminations, by coordinating documentation, meetings, access changes, communications, final-payroll information, and required reporting in partnership with leadership
  • Manage recruiting coordination, including job postings, candidate communications, interview scheduling, preparing and extending approved employment offers, and completing pre-employment documentation
  • Administer employee benefit programs, maintain paid-time-off records, and coordinate the annual performance review process
  • Create and maintain personnel documents, HR policies, process documentation, employee records, and step-by-step procedures
  • Complete assigned compliance applications, maintain supporting documentation, and partner with management to help ensure HR and workplace compliance
  • Coordinate contractor agreements and maintain accurate contractor documentation and records
  • Process payroll and provide administrative support for expense reporting, purchasing, and corporate credit card administration
  • Provide administrative and project support as needed
Required Skills
  • Strong verbal and written communication skills, with a warm and professional service approach
  • Demonstrated discretion and sound judgment when handling confidential employee, payroll, financial, and company information
  • Excellent organization, follow-through, attention to detail, and ability to manage multiple priorities
  • Proactive, resourceful approach to solving problems and improving office and HR processes
  • Ability to foster company culture, build employee engagement, and confidently facilitate meetings and events
  • Working knowledge of recruiting, onboarding, offboarding, benefits administration, employee records, and payroll processing
  • Familiarity with basic accounting procedures, expense reporting, purchasing, and budget management
  • Comfort using technology, including Microsoft Word, Excel, Outlook, Teams, web-based applications, and AI-powered tools to improve productivity, communication, and business processes
