Position: Credentialing & Medical Staff Coordinator (On-site in Carroll, Iowa)

Job Details Essential Duties and Responsibilities

  • Manage end-to-end credentialing, re-credentialing, and privileging process in collaboration with CVO.
  • Review and verify applications, identifying any red flags or missing documentation.
  • Prepare provider credentialing files for review by the Medical Staff Committee and Board of Directors.
  • Maintain complete and accurate records of medical staff, monitoring expiration dates for licensure, certifications, and insurance.
  • Coordinate orientation schedules and onboarding processes for new providers, supporting smooth integration into the organization.
  • Track CME reimbursements and manage expenses related to credentialing in accordance with provider contracts and hospital policy.
  • Provide administrative support for Medical Staff and Department meetings, including scheduling, agendas, and minutes.
  • Serve as the primary contact for new providers during the credentialing and onboarding period.
  • Coordinate clinical rotations and schedules for medical students and trainees.
  • Support quality reporting, audits, and compliance activities for regulatory and accreditation readiness.
  • Maintain confidentiality and uphold ethical standards aligned with our faith-based mission.
  • Promote a culture of safety, compassion, and continuous improvement in all work practices.
  • Maintain a safe work environment using safe practices and following hospital safety procedures.
Supervisory Responsibilities
  • This position does not supervise other employees.
Qualifications

Education And Experience
  • Associate’s degree or equivalent required.
  • Minimum of 2 years of experience in credentialing, medical staff support, or a related administrative role.
  • Experience with credentialing software and understanding of healthcare terminology preferred.
Licenses/Certifications
  • Certification from NAMSS (National Association Medical Staff Services) preferred but not required.
Knowledge, Skills, And Abilities
  • Thorough understanding of credentialing standards, regulatory and accreditation guidelines (TJC, CMS, NCQA).
  • Strong verbal and written communication skills.
  • Advanced organizational and time management abilities.
  • Proficiency in Microsoft Office Suite and data management systems.
  • High attention to detail, confidentiality, and commitment to excellence.
  • Service-oriented attitude, with an ability to work collaboratively and respectfully with all stakeholders.
Language And Communication Requirements
  • Proficient in English, both spoken and written, including professional and medical terminology.
  • Ability to read, understand, and write routine business documents and medical staff correspondence.
  • Must be able to effectively present information and respond to inquiries from providers, leadership, and accrediting agencies.
Physical Demands

The following physical requirements represent the demands typically encountered in this role and may be used to assess accommodation and work restrictions from a physical therapy or work comp perspective:

  • Postural Tolerance:
    Prolonged sitting at a desk or computer workstation (up to 6–8 hours/day). Occasional standing, walking, reaching, and stooping.
  • Manual Dexterity and Repetitive Motion:
    Frequent use of hands/fingers for keyboarding, writing, and document handling.
  • Lifting Requirements:
    Must be able to lift and carry up to 15 pounds occasionally and up to 35 pounds infrequently (e.g., boxes of files, office supplies).
  • Visual and Auditory Requirements:
    Close vision for computer and document work. Ability to hear conversations and respond clearly in person or over the phone.
  • Mobility:
    Ability to move between workstations, attend meetings, and escort providers during onboarding.
  • Ergonomic Awareness:
    Work is primarily sedentary but requires attention to posture, workstation ergonomics, and breaks to prevent repetitive stress injuries.
