PositionSummary
The Office Assistant will provide administrative and operational support across multiple hospice functions, including phone coordination, daily census tracking, scheduling assistance, intake support, medical record organization, and staff follow‑up on documentation deadlines. This position requires excellent communication skills, professionalism, and the ability to multitask in a fast‑paced healthcare setting.
Key Responsibilities Front Office & Communication- Answer incoming phone calls and direct inquiries appropriately
- Serve as a first point of contact for patients, families, facilities, and field staff
- Assist with troubleshooting urgent field staff issues and escalate concerns as needed
- Maintain and update daily census reports
- Manage spreadsheets and internal tracking tools accurately
- Assist with scheduling coordination for clinical staff
- Gather new patient intake information
- Run and verify insurance benefits (Medicare, Medicaid, commercial plans)
- Support timely admission coordination with leadership and referral partners
- Compile weekly medical record packets for Skilled Nursing Facility (SNF) partners
- Review documentation completion and follow up with staff on deadlines
- Assist with medical records organization and compliance support
- Participate in onboarding and orientation for new team members
- Provide administrative support to nursing and leadership teams
- Assist with community outreach and volunteer coordination projects
- Support additional administrative duties and special assignments as needed
- Strong organizational and multitasking skills
- Excellent phone etiquette and professional communication
- Comfortable working with spreadsheets, data entry, and office systems
- Ability to prioritize tasks and meet deadlines in a healthcare environment
- Experience in hospice, home health, healthcare office, or medical administrative support
- Familiarity with insurance verification and patient intake processes
- EMR experience (hospice software preferred)
