Clerk – Elementary (8 hr)

Reports to: Principal
Position Type: Secretarial & Clerk - 8 hour
Location: TBD Location
Wage/Hour Status: Nonexempt
Pay Grade: AS 1 – 190 Days

Primary

Purpose:

Facilitate the efficient operation of the school office and provide clerical services to the principal. Maintain accurate attendance records for the campus. Under direct supervision, perform data entry including attendance, Public Education Information Management System (PEIMS) data, and grades.

Qualifications
  • Education/Certification: High school diploma or GED
  • Special Knowledge/

    Skills:

    • Proficient keyboarding, word processing, and file maintenance skills
    • Effective organizational, communication, and interpersonal skills
    • Ability to use a personal computer to develop spreadsheets and databases
    • Ability to speak/read Spanish (Preferred)
    • Ability to meet established deadlines
  • Preferred Experience: Three years of successful secretarial or clerical experience, preferably in a related field
Major Responsibilities and Duties Reception and Phones
  • Perform routine work activities in the school office
  • Receive and direct incoming calls, take reliable messages, and route to appropriate staff
  • Greet and direct campus visitors
  • Assist parents in checking students in and out of school
  • Maintain visitor log and issue visitor passes
  • Prepare correspondence, forms, reports, etc. for the assigned administrator
  • Make appointments and maintain office calendar
  • Receive, sort, and distribute mail and other documents to staff members
Records and Reports
  • Collect and enter attendance and PEIMS data into established database and verify accuracy according to established procedures
  • Prepare and print reports, including attendance reports, grades, class or personnel rosters, end‑of‑semester reports, or accounting reports
  • Maintain physical and computerized records, including student cumulative folders, progress and failure reports, class rosters, grade books, and schedule changes if applicable
  • Process new student records, including requesting transcripts and records from other schools, setting up cumulative folder, and entering student data into appropriate databases
  • Assist parents, students and faculty with questions regarding student attendance
  • Process and transmit requests for student information and transcripts
  • Report all attendance problems to designated administrator
  • Call parents to verify student absences as needed
  • Perform routine bookkeeping tasks, including simple arithmetic operations
  • Administer first‑aid and medication to students in compliance with procedures established by Board Policy and administrative procedures
  • Assist the school nurse with health records and other health‑related activities as recommended by the principal
Other
  • Maintain/distribute books from bookroom for students/teachers
  • Participate in in‑service training programs
  • Order and maintain supplies
  • Maintain confidentiality of information
  • Provide excellent customer service to all students, staff, parents, and community members
  • Keep informed and comply with all state and district policies and regulations concerning primary job functions
Working Conditions
  • Equipment Used:
    Multi‑line phone system; standard office equipment including personal computer and peripherals
  • Posture:
    Prolonged sitting; occasional bending/stooping, pushing/pulling, kneeling, and twisting
  • Motion:
    Repetitive hand motions; frequent keyboarding and use of mouse; occasional reaching
  • Lifting:
    Occasional light lifting and carrying (less than 15 pounds), occasional heavy lifting, over 45 pounds
  • Environment:
    May work prolonged or irregular hours
  • Mental Demands:
    Work with frequent interruptions; maintain emotional control under stress; subject to frequent deadlines
