Fully onsite (5 days a week)
8 AM - 5 PM CST
CONTRACT TERM6 months, with 6-month renewals thereafter
POSITION OVERVIEWThe Administrative Assistant 1 is responsible, under minimal supervision, for supporting the operations, logistics, and classroom training coordination for a variety of learning programs. This role works well independently and is considered a professional with an adequate understanding of their own job area. Responsibilities include communicating with trainees and stakeholders, updating and distributing training reports, managing scheduling and LMS registration, preparing and coordinating training materials and room setup, and managing training records and inventory.
Qualifications:
a high school diploma or above with 1-2 years of experience, strong skills in Microsoft Excel, Outlook, PowerPoint, and Word, and a highly detail-oriented, organized, customer-service-oriented approach.
- Communicate with trainees and other stakeholders
- Update and distribute training reports
- Manage scheduling, invitations, and LMS registration for each trainee
- Compile data for training improvements and reporting
- Ensure all materials are ready for each class
- Prepare, print, collate, order, and receive training materials as needed
- Ensure rooms are set up per program needs
- Ensure technology in the room is enabled and ready prior to each session
- Create and follow up on catering orders for classes (lunch orders)
- Manage training records based on attendance
- Support program evaluation collection and analysis
- Manage training sample product inventory
- Perform additional operational duties as requested
- Support Training Center operations by managing training sample products and general facility quality
- High school diploma or above, with 1-2 years of relevant experience
- System administration experience; intermediate skills in Microsoft Excel, Outlook, PowerPoint, and Word
- Highly detail-oriented, organized, and works with a sense of urgency
- Customer-service oriented - able to professionally and tactfully interact with all levels of the organization
- Motivated to learn and work hard in a fast-paced, highly ambiguous environment; enjoys creating structure where there may be none
- Strong written and verbal communication skills, with the ability to influence without direct authority
- Proactive and solutions-oriented, with strong problem-solving skills
- Independent and able to take charge of responsibilities, while not afraid to ask for guidance when needed
- Strong time and priority management skills, able to prioritize and handle multiple concurrent, competing deadlines
