Position Summary
The Operations Timeline Specialist is responsible for monitoring, tracking, and ensuring timely completion of critical tasks and deliverables across the organization. This role serves as the central point of accountability for due dates in Deacom (ERP) and Asana (Project Management System), proactively identifying delays and communicating with team members to keep projects on track. Additionally, the specialist will manage timelines for change controls and other operational processes, ensuring compliance and efficiency.
EssentialDuties And Responsibilities
- Track and Monitor Deadlines
- Maintain accurate due date tracking in Deacom ERP, Unipoint, and Asana.
- Monitor progress on assigned tasks and projects, ensuring adherence to timelines.
- Proactive Communication
- Notify employees when deadlines are approaching or overdue.
- Escalate issues to managers when tasks are at risk of delay.
- Change Control Oversight
- Track due dates for change control processes and ensure timely completion.
- Collaborate with relevant departments to maintain compliance with internal procedures.
- Reporting and Analysis
- Generate regular status reports on project timelines and overdue tasks.
- Identify patterns or recurring delays and recommend process improvements.
- Cross-Functional Coordination
- Serve as a liaison between departments to ensure smooth workflow and timely deliverables.
- Support project managers and department leads with scheduling and timeline management.
- Other duties may be assigned.
- Education:
Associate or Bachelor’s degree in Business Administration, Operations Management, or related field preferred; or commensurate experience. - Experience:
- 2+ years in operations, project coordination, or similar role.
- Familiarity with ERP systems (Deacom preferred) and project management tools (Asana or similar).
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general computer literacy.
- Skills:
- Strong organizational and time-management skills.
- Excellent communication (written & verbal) and interpersonal capabilities.
- Detail-oriented with a proactive approach to problem-solving.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong problem-solving and analytical skills, with a focus on execution and results.
- Ability to work independently and take initiative in a fast-paced environment.
- High level of conscientiousness and attention to detail
- Collaborative mindset with a willingness to step in and support other function when needed.
- Experience in regulated industries such as healthcare, pharmaceuticals, or life sciences.
- Familiarity with product lifecycle management (PLM) tools.
Operations Timeline Specialist is an on-site role.
