Overview

Coordinator of Student Information Systems oversees and manages all aspects of the district's Student Information System (SIS), ensuring data integrity, optimal functionality, and efficient daily operations. The role serves as the primary SIS administrator, coordinating data collection, system configuration, and user management across campuses and departments. It supports state PEIMS reporting, accountability metrics, and district funding structures.

Responsibilities
  • System Administration:
    Provide end-user support for Frontline SIS; manage system configurations and create technical documentation.
  • Master Scheduling & Grade books:
    Guide, train, and support campuses in building master schedules and digital grade books; monitor scheduling and grading for compliance with state regulations and district procedures.
  • Campus Support:
    Provide ongoing technical support, guidance, and troubleshooting for campus administrators, registrars, and counselors.
  • Registration Operations:
    Assist in the annual review, development, and maintenance of documentation and processes for online student registration.
  • Systems Integration:
    Collaborate with the Enterprise Systems team to enhance efficiency, data flow, and functionality of interconnected district systems.
  • Cross-Departmental Support:
    Partner with central office departments (e.g., Special Education, Bilingual/ESL, Transportation, Athletics, Food Services) to meet data and operational needs of the SIS.
  • Compliance Oversight:
    Ensure district-wide compliance with policies regarding coding, management, and reporting of student information.
  • PEIMS

    Collaboration:

    Work with the Director and Coordinator of PEIMS to prepare, validate, and submit mandated data collections.
  • Data Dissemination:
    Retrieve, organize, and securely disseminate data for mandated submissions.
  • Reporting & Analytics:
    Build queries and generate accurate student-related data and reports for district departments, campuses, and researchers upon request.
  • Policy Maintenance:
    Assist in developing and maintaining local board policies related to student information and data governance.
  • Subject Matter Expertise:
    Serve as the district’s primary expert on student information, data standards, and SIS operations.
  • Professional Development:
    Design and deliver targeted training on scheduling, data coding, and SIS management.
  • Strategic Input:
    Provide data-driven input during the district’s annual calendar planning.
  • Continuous Learning:
    Stay current on industry trends and regulatory changes through professional development activities.
  • Operational Support:
    Perform other duties as assigned by the Director of PEIMS, Records and Student Enrollment or Executive Director of Student Services.
  • Qualifications

    Education/Certification: Bachelor’s degree required.

    Special Knowledge/

    Skills:

    • Technical familiarity with TEA data systems (e.g., TSDS, Ed-Fi integration) and state data standards.
    • Strong analytical and problem-solving skills; ability to interpret complex data, troubleshoot issues, and generate reports.
    • Working knowledge of FERPA, federal/state/local policies, TEDS, and PEIMS coding practices.
    • Understanding of SAAH procedures and district enrollment operations.
    • Knowledge of TEC Chapter 37 and state student discipline data standards.
    • Knowledge of K-12 processes, including CTE programs, CCMR, course coding, and special programs data.
    • Ability to manage time, prioritize issues, multi-task, and meet reporting deadlines.
    • Strong interpersonal, leadership, and communication skills; ability to translate technical concepts for non-technical stakeholders.
    • Commitment to ethical data behavior and student privacy.
    • Experience:

      Three (3) or more years in K-12 student data management; advanced proficiency with Frontline/TEAMS and electronic student records.

    Working Conditions
    • Office environment with standard equipment; occasional irregular hours and in-person attendance as required.
    • Mental and physical demands typical of an office role; prolonged sitting, keyboarding, and occasional lifting (less than 15 pounds).
    • Travel as required within the district; occasional out-of-district travel may be necessary.
