Position Summary

The receiving clerk is responsible for receiving in all raw materials and chemicals from various vendors and entering the items into the ERP system (Process Pro) accurately and in a timely manner, allowing all members of the company visibility of what is available for production.

Essential Duties and Responsibilities
  • The receiving department checks all incoming products for proper case count, verifies it against the accompanying Bill of Lading, Shipping Manifest, and/or packing list, and assures the quantity received.
  • If the physical count does not match the amount on the accompanying paper, the Bill of Lading is signed for as short and the number of items short is clearly indicated on the receiving ticket and the freight bill. The same holds true for damaged material, which is described and noted as "DAMAGED".
  • Receiving personnel exercise good judgment in the receipt of damaged goods. If additional input is required, the next appropriate person to consult is the purchasing manager responsible for the item.
  • All items received are considered "quarantine" until they are inspected and released.
  • All items are entered into the MRP software and matched with the purchase orders provided by the purchasing department.
  • All receiving documentation is signed, properly filed, and easily accessible for audit purposes.
  • If the material passes all required inspection, an inventory label is stamped as "approved".
  • Each container of the item is attached with the SAP part, description, quantity, manufacturer, date received, and approval stamp of the inspector.
  • Each box, drum, or container must have its own label. The material is then transferred to the raw material storage area outside of the receiving area.
  • The receiving clerk keeps the area organized and clean. If materials cannot be entered into the MRP software, the purchasing group is informed for resolution.
  • The clerk submits claims for damaged product via UPS, Fed Ex, etc.
  • Provides backup support for the IDR cage and disposal.
  • Maintains forklift certification (Sit‑Down Forklift) and Ride‑On pallet jack operation.
  • Other duties may be assigned.
Qualifications
  • High School Diploma or GED required.
  • Excellent written and verbal communication skills.
  • Basic mathematical skills (addition, subtraction, multiplication, and division).
  • Ability to accurately count and measure items.
  • Ability to read and understand technical documents and instructions.
  • Strong attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • Ability to identify and resolve minor issues.
  • Operate P.I.T equipment safely.
Preferred

Skills and Qualifications
  • 2–3 months of relevant experience in a warehouse or logistics environment.
  • Familiarity with inventory systems or warehouse management software.
  • Experience with receiving procedures and documentation.
  • Basic knowledge of shipping and receiving safety protocols.
  • Prior forklift experience (1–3 years).
  • Experience using word processing, Excel, and Google documents.
  • Experience receiving chemicals (1–2 years).
  • Experience with packing list, BOLs, and document filing.
  • Audit experience.
