This is a non-exempt, part-time position with the Carson City Clerk/Recorder's Office, Elections/Marriage Division, not to exceed 1039 work hours in any fiscal year. Employees in this position will perform a variety of clerical duties for the Election/Marriage Division in the Carson City Clerk/Recorder's Office. Employees will perform a variety of duties related to the maintenance and administration of services related to the needs of Carson City.
EssentialFunctions

- Respond to requests for information related to specific unit of assignment.
- Enter and retrieve information from an automated data system.
- Maintain and update filing and/or records systems, and other specialized record keeping information.
- Review all work for accuracy and completeness, and maintain confidentiality of all information.
- Photocopy, collate, and distribute documents.
- Operate a variety of office equipment, i.e. computer, fax, copier, and etc.
- Assist customers at the front counter with a variety of requests.
- Performs specialized office support work in accordance with State regulations and office policies and procedures.
- Scan and index numerous documents.
- Posting information on the website.
- Examines various legal documents for sufficiency, completeness and adherence to laws, codes and recording requirements.
- Enters information into an automated system for permanent indexing.
- Explains recording requirements to the public, including providing information regarding transfer taxes, fees and required supplemental documents.
- Organizes own work, sets priorities and ensures that critical deadlines are met.
- Performs a variety of general office support work such as filing, answering telephone inquiries, typing correspondence, opening, handling, and distributing mail; and reproducing copies of various documents.
- Demonstrates courteous and cooperative behavior when interacting with the public and City staff; acts in a manner that promotes a harmonious and effective workplace environment.
High School diploma, GED, or equivalent education; AND two years of clerical experience.
Knowledge of- General office practices and procedures
- Chronological, alphabetical, and numerical filing procedures

Ability to read, analyze, and interpret technical procedures and general government regulations; ability to understand and implement verbal and written instructions; ability to write reports and general business correspondence; ability to effectively present information and respond to questions from groups of managers, customers, and the general public.
Mathematical skillsAbility to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals; ability to compute rate, ratio and percentage.
Reasoning abilityAbility to define problems, collect data, establish facts, and draw valid conclusions; interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
Other knowledge, skills & abilitiesIntermediate to advanced proficiency level utilizing Microsoft Office applications including Excel, Access, PowerPoint, Word, and Outlook, and other computer software and indexing programs; ability to operate standard office equipment, including scanners, telephones, calculators, copiers, fax machines, etc.
Supervision Received and ExercisedUnder General Supervision – Incumbents at this level are given assignments and objectives that are governed by specifically outlined work methods and a sequence of steps, which are explained in general terms. The responsibility for achieving the work objectives, however, rests with a superior. Immediate supervision is not consistent, but checks are integrated into work processes and/or reviews are frequent enough to ensure compliance with instructions.
