Purpose:
This position falls under the supervision of the Grants and Major Gifts Manager, and is on the Community Relations team, which plans and executes holiday programs. Duties for Community Relations events fall within this position.
Duties, Functions and Responsibilities:- Will be an integral and essential part of the Holiday Programs Team.
- Assist with research, preparation, and execution of all holiday events including but not limited to:
Intake, Thanksgiving Food Drives, Turkey-Thon, Toy Drive, Toy Distribution, Agency Toy Distribution and Adopt-A-Family. - Attend and support all activities in #2 as needed, including most Fridays and Saturdays in November and December.
- Assist with volunteer management for all holiday activities in #2 as needed.
- Assist with preparation and execution of Thanksgiving Food Drives and Turkey-Thon.
- Manage volunteers and on-site logistics at the 98.5 KLUC Toy Drive. Responsible for maintaining accurate data and communications with team and on-site partners.
- Assist with Toy Distribution including but not limited to data management, store set-up, restocking store, assisting on-site volunteers, client check-in, and working directly with clients.
- Assist with Agency Toy Distribution including but not limited to grant review, data management, communication management with partners, and on-site support.
- Assist with Adopt-A-Family including but not limited to data management, thorough communication with clients and donors, working on-site to accept donor gifts and working on-site to distribute donor gifts to families.
- Assist with Intake including but not limited to screening for client eligibility, safely and accurately securing client information, assist on-site volunteers with intake questions, data management and maintaining professional communication with team, volunteers and clients.
- Manage Holiday Programs database, data entry and paper holiday vouchers to ensure client data is as complete and organized as possible.
- General office duties include but are not limited to copying, filing, creating flyers and forms answering phones, answering emails using MS Office Suite, including Outlook, Word, Excel, Canva.
- Responsible for checking phone messages and holiday emails in a timely manner.
- Responsible for deliveries and pick-ups for holiday programs as needed with HELP or personal vehicle.
- Post-holiday activities, including but not limited to stewardship and donor acknowledgement. Database verification an other duties as needed.
- Other duties, as may be assigned.
- High School Diploma or GED
- Must be over 21 (due to some event locations)
- Must be able to work nights and weekends, during Holiday Programs and Events.
- Must be flexible with work schedule on a short notice.
- Event Planning experience preferred.
- General computer knowledge and ability to use Microsoft Office software to include, but not limited to Word, Excel, Canva
- Ability to use Microsoft Platform tools.
- Effective written, verbal and listening skills.
- Experience with any donor database helpful.
- Professional and timely communication skills both written and oral.
- Must be able to multitask and prioritize workflow.
- Some lifting up to 30 pounds is required
- Understand and follow all agency policies and procedures.
- Must be able to pass a background check and pre-employment drug screening. Random drug screening is performed.
- Must have a valid NV driver’s license for minimum 5 years (preferred) and clean DVM record.
- Position is seasonal, expected term of employment is October to January. Does not include paid PTO/Sick time or holiday pay. Overtime can be earned.
Work is performed in an office environment, with driving required iday Program activities take place indoors and outdoors. May be subject to full body movement such as sitting, standing, lifting 30 lbs. or more, pushing, pulling, grasping, loading and unloading vehicles, bending, squatting, and walking.
