Position Summary

The Fleet Manager is responsible for the strategic and day-to-day management of AMPAM Parks Mechanical's company vehicle fleet and mechanical/construction equipment. This role owns the full fleet lifecycle — from evaluating and purchasing new vehicles and equipment, to building and enforcing preventive maintenance programs, to managing repairs, compliance, and eventual replacement or disposal. The Fleet Manager partners closely with Purchasing, Operations, and Field Leadership to ensure the fleet supports the company's multi-family MEP construction work safely, reliably, and cost-effectively across a growing, multi-acquisition organization.

Key Responsibilities

Fleet & Equipment Procurement

  • Evaluate, recommend, and purchase new company vehicles (trucks, vans) and major equipment based on operational need, total cost of ownership, and standardization goals.
  • Develop and manage vendor relationships for vehicle dealers, equipment suppliers, and outfitters (racking, lettering, upfitting).
  • Prepare and present business cases, bid comparisons, and ROI analyses to leadership for fleet acquisitions and replacements.
  • Manage fleet replacement cycles and capital budget planning in coordination with the Director of Purchasing and Finance.

Preventive Maintenance & Repairs

  • Design, implement, and maintain a preventive maintenance (PM) schedule for all fleet vehicles and equipment, based on manufacturer specs, mileage/hours, and usage patterns.
  • Track and enforce PM compliance across the fleet, minimizing unplanned downtime and extending asset life.
  • Coordinate repairs and service with internal technicians and/or third-party vendors; manage work orders, turnaround time, and repair costs.
  • Maintain accurate, up-to-date maintenance and service history records for every vehicle and major equipment asset.

Compliance, Safety & Risk

  • Ensure all vehicles and equipment meet DOT, DMV registration/titling, insurance, and safety inspection requirements.
  • Monitor driver safety records, licensing, and toll/violation activity (e.g., Fas Trak); address repeat issues with Operations and HR.
  • Maintain fleet-related documentation for audits, insurance claims, and regulatory reporting.

Asset Management & Reporting

  • Maintain a complete, accurate asset register for all fleet vehicles and equipment (assignment, location, status, service history, depreciation).
  • Build and maintain KPI reporting (fleet uptime, maintenance cost per unit, PM compliance rate, fuel/toll spend) for Supply Chain leadership.
  • Support budgeting and forecasting for fleet operating costs, fuel, insurance, and capital expenditures.
  • Identify and lead process improvements and standardization opportunities as the company grows through acquisition.

Cross-Functional Coordination

  • Partner with Purchasing, Facilities, and Field Operations to align fleet and equipment availability with project schedules.
  • Serve as the primary point of contact for fleet-related questions from field employees, project managers, and leadership.
  • Train field staff on proper vehicle/equipment use, care, and reporting procedures.
Qualifications

Education & Experience

  • Bachelor's degree in Business, Supply Chain, Logistics, or related field preferred; equivalent experience considered in lieu of degree.
  • 3–6+ years of experience in fleet management, equipment management, or logistics, ideally within construction, mechanical/MEP, or a related trade industry.
  • Experience managing a fleet of 200+ vehicles and/or mixed heavy equipment preferred.
  • Strong working knowledge of fleet/asset management systems and preventive maintenance program design.
  • Proficient in Excel and reporting tools; experience with fleet telematics, ERP systems (e.g., Vista/Spectrum), or procurement platforms (e.g., KOJO) a plus.
  • Strong cost analysis skills.
  • Excellent organizational skills with the ability to manage multiple vehicles, equipment types, and vendors simultaneously.
