Position Summary
The Customer Service Representative / Administrative Assistant is responsible for delivering professional, courteous service to Tru Axis customers while providing day-to-day administrative and operational support to the office. This role serves as a primary point of contact for customer inquiries and is also responsible for maintaining accurate records, supporting office operations, and ensuring a clean, organized work environment.
Essential Duties and ResponsibilitiesThe following duties are representative of the work performed in this position. Other duties may be assigned.
Answer all inbound phone calls promptly and professionally; greet walk-in customers and respond to email inquiries in a courteous and timely manner.
Listen to customer concerns, identify needs, provide accurate information, and resolve complaints efficiently; elevate complex issues to a supervisor as needed.
Document all customer interactions and transactions accurately in company systems; update account information and maintain organized, up-to-date records.
Perform general clerical duties including data entry, filing, photocopying, scanning, and maintaining organized records both digitally and in hard copy.
Draft, proofread, format, and distribute professional written communications including emails, letters, and memos as directed.
Monitor office supply inventory and coordinate reorders as needed to ensure the office remains fully stocked and operational.
Maintain a clean, organized, and professional office environment on a daily basis, including workstations, common areas, and the restroom.
Assist management and team members with day-to-day operational tasks, special projects, and other duties as assigned.
- High school diploma or GED equivalent required; associate's degree or administrative coursework a plus
- Excellent telephone etiquette and verbal communication skills; must be able to speak clearly, professionally, and courteously with customers at all times
- Strong written communication skills; ability to compose accurate and professional correspondence
- Proficient in Microsoft Office Suite (Word, Excel, Outlook); able to produce documents, manage email, and navigate standard office software
- Strong organizational skills and attention to detail; accuracy in data entry and record keeping is essential
- Ability to multitask and manage competing priorities effectively in a fast-paced environment
- Professional, patient, and courteous demeanor; able to remain calm and positive under pressure
- Reliable, punctual, and self-motivated with consistent attendance
- Prior customer service, reception, or administrative office experience preferred; will train the right candidate
This position requires prolonged periods of sitting and working on a computer and telephone. Must be able to occasionally lift and carry up to 20 lbs. Reasonable accommodations may be made for individuals with disabilities to perform the essential functions of this role.
