Statement of Duties
:

The Police Cadet performs clerical and administrative tasks in support of the Police Department such as taking incident reports, dispatching police officers and answering telephones.

Essential Functions
:

  • Attend, train, test, and achieve certification in the State of Massachusetts-mandated E-911 system as well as the Department of Criminal Justice Information Services (CJIS), National Crime Information Center (NCIC) and MA Registry of Motor Vehicle systems;
  • Train and gain proficiency in use of the in-house Computer Aided Dispatch system as well as call handling techniques. Utilize the Computer Aided Dispatch system to enter all calls for service and to access the database for investigations or other needs;
  • Assist uniformed police officers with all dispatching functions. Monitor and answer emergency telephone calls coming into the Department, assess and evaluate the seriousness of each call, determine the proper type of emergency response and dispatch it to the proper location;
  • Monitor prisoners via closed circuit television (CCTV) for safety reasons and perform on-site detainee cell checks when requested by the Officer-in-Charge;
  • Monitor city-wide CCTV system for public safety concerns and anti-crime efforts;
  • Access the NCIC/CJIS computer as requested, in order to fulfill the requests of officers working the street, on traffic stops, working details or for reasons specified otherwise;
  • Enter and update articles such as stolen vehicles; license plates; guns and missing persons data within the NCIC computer system;
  • Prepare and assist with written police reports pertaining to incidents as requested by the general public as well as arrest reports for court appearances by the Department;
  • Assist uniformed officers with the distribution of prisoner meals;
  • Perform other administrative duties such as monitor and answer business telephone lines, file documents to the Bureau of Records;
  • In the absence of the police dispatcher, assume all duties as assigned;
  • Performs similar or related work as required, directed, or situation dictates by the Shift Commander. Regular attendance at the workplace is required.

Supervision Required :
Works under the direction of the Shift Commander. Employee expected to routinely check with their supervisor before doing anything, but follow standard procedures.

Supervisory Responsibility :
None.

Confidentiality :
The employee has access to limited confidential information such as department and public safety records, which must be maintained in accordance with the State Public Records Law.

Accountability :
Work affects the accuracy, reliability, and acceptability of department services, and affects the work of other departments and employees. Consequences of errors, missed deadlines or poor judgment may include adverse customer relations, delay or loss of service or legal issues.

Judgment :
Employee is expected to use sound judgment in selecting the most appropriate procedure or method to apply in a particular situation, including the handling of public safety.

Complexity :
The work consists of a variety of duties which generally follow standardized practices, procedures, regulations or guidelines. The sequence of work and/or the procedures followed vary according to the nature of the transaction and/or the information involved, or sought, in a particular situation.

Nature and Purpose of Public Contact :
Frequent contact with co-workers and the public involving frequent explanation, discussion or interpretation of practices, procedures, regulations or guidelines in order to render service, plan or coordinate work efforts, or resolve operating problems. Other regular contacts are with representatives of other departments or agencies. Employees are expected to act with courtesy, tact, and diplomacy in working with others and resolving complaints.

Minimum Qualifications:

Education and Experience: High School education and up to one (1) year of administrative/clerical experience, or any equivalent combination of education and experience.

Knowledge, Abilities and Skill:

Knowledge :
Must have familiarity with the Microsoft Office suite, including Excel spreadsheets, as well as demonstrable proficiency in learning new software systems needed. Knowledge of CJIS application is a plus. Must be familiar with standard office procedures and with office equipment such as copy machine, calculator, fax, and computer.

Abilities :
Ability to work in a fast-paced environment and manage multiple duties simultaneously; with a high degree of clerical accuracy, including excellent typing, filing and organizational skills. Ability to learn department-specific software.
