As an Administrative Assistant you will have the opportunity to manage administrative tasks, coordinate billing processes, handle promotional item distribution, and assist with general office duties. Your contributions will have a direct impact on the business by ensuring smooth day‑to‑day operations of the Creative department. The ideal candidate will be highly organized, detail‑oriented, and able to thrive in a fast‑paced, creative environment.
So,what will you be doing as an Administrative Assistant?
- Prepare and process invoices for creative projects and departmental expenses.
- Track and reconcile billing records to ensure accuracy.
- Assist with budget monitoring and expense reporting.
- Coordinate the ordering, inventory, and distribution of promotional materials.
- Ensure timely delivery of items for campaigns, events, and client needs.
- Maintain accurate records of promotional item usage and stock levels.
- Assist internal branches with custom promotional needs (quoting and ordering).
- Distribution/fulfillment resource for internal departments and branches.
- Prepare and distribute internal communications and reports.
- Maintain organized filing systems (digital and physical).
- Handle incoming calls, emails, and correspondence for the department.
- Prepare expense reports and coordinate with staff for submission.
- Manage calendars, schedule meetings, and organize departmental events.
- Serve as a liaison between the Creative Department and other teams.
- Support creative staff with project coordination and resource needs.
- Ensure compliance with company policies and procedures.
- Proven experience as an administrative assistant or similar role.
- Strong organizational and multitasking skills.
- Proficiency in Microsoft Office Suite and other relevant software.
- Excellent communication and interpersonal skills.
- Ability to manage confidential information with discretion.
- Familiarity with billing processes and promotional item coordination is a plus.
