Job Overview
Clinical Administrator – Cardiothoracic Services, Freeman Hospital. Four full‑time posts available in Respiratory Services, Paediatric Congenital, and Cardiology. The role involves working closely with medical and nursing staff to provide an efficient administrative service, supporting clinicians and their teams. The post holder must work independently, follow departmental policies and procedures, and demonstrate excellent communication skills, flexibility, reliability, and an organised, detail‑oriented approach to help support patient flow.
The position offers variety, ad‑hoc demands, and opportunities to develop knowledge and skills within a supportive team.
- Talk to patients over the telephone and ensure that their queries are dealt with efficiently.
- Obtain information for patient queries where appropriate and call them back.
- Keep VR dictation up‑to‑date for the clinical team so that clinic letters, referrals and any other correspondence are sent out in a timely manner.
- Open and distribute post for the clinical team.
- Make ad‑hoc appointments and request clinic builds.
- Chase results and/or check appointments in other departments that have been requested.
- Work with other departments to ensure the smooth day‑to‑day running of the department.
- Perform ad‑hoc duties as requested by the clinical team.
- Work within a team of administrative staff to provide comprehensive support to consultants, medical staff and other clinical members (e.g. specialist nurses and therapists).
- Communicate with patients regarding appointments and admissions at the request of the medical team.
- Provide cover for the Team Leader within your administration team as required.
- Cover Clinical Administrator posts Trust wide as required.

37 Hours 30 Minutes per week
- Level 3 qualification in administration or equivalent/relevant experience in an administrative role.
- English qualification at Level 2 (GCSE Grades 9–4 or A*–C, or Functional or Key Skills at Level
2). - Maths qualification at Level 1 (GCSE Grades 3–2 or D–F, or Functional or Key Skills at Level
1).
- Experience of secretarial/administrative procedures.
- NHS administrative/secretarial experience.
- Working knowledge of NHS systems (e.g. eRecord, System One).
- Knowledge of medical terminology.
- IT skills including MS Office (Word, Excel, Outlook, PowerPoint).
- Advanced keyboard skills with a high standard of word processing.
- Excellent communication skills.
- Ability to work without direct supervision.
- Ability to manage time effectively and work on own initiative.
- Ability to accurately input, collate and present information.
