Description Of Work

The Executive Assistant provides high‑level administrative, confidential, and fiscal support to the Senior Deputy Secretary (SDS). This role manages the SDS’s complex calendar, schedules meetings with internal and external stakeholders, prepares reports and correspondence, screens communications, and ensures office efficiency. The position handles sensitive personnel and operational information with discretion and independently processes routine matters within delegated authority.

Key Responsibilities
  • Conducts research to support SDS decision‑making and coordinates information for program and policy initiatives.
  • Ensures timely follow‑through on SDS actions and directives.
  • Manages purchasing, contracts, invoices, inventory, and vehicle records in compliance with state fiscal policies.
  • Utilizes E‑Procurement, NCFS, OPUS, and DAC applications to complete accurate fiscal transactions.
  • Maintains organized records, supports communication flow, and performs additional duties as assigned to ensure efficient office operations.
  • Coordinate appointments, reservations, travel arrangements, and transportation logistics.
  • Process travel authorizations/reimbursements, invoices, and oversee P‑Card usage and documentation.
  • Additional duties as assigned.
Salary Range

$45,431.00 - $79,504.00 Annually

Knowledge, Skills, and Abilities (Preferred)
  • Demonstrates expertise in administrative and statewide program operations, ensuring accurate workflow management and timely execution of tasks.
  • Experience in managing multiple projects with 100% accuracy using Microsoft Office, Smartsheet, NCFS, E-procurement, and virtual platforms to produce high‑quality documents and logistics support.
  • Builds effective relationships with staff, partners, and leadership, consistently delivering professional customer service and responsive communication.
  • Works independently to anticipate needs, resolve issues within established time frames, and coordinate complex statewide events from planning to completion.

About The SOIU Unit

Special Operations and Intelligence Unit (SOIU) is within the North Carolina Department of Adult Correction and is responsible for identifying appropriate security goals, objectives, standards, and strategies and technologies used. SOIU also collaborates with Prisons and Community Supervision staff and oversees the collection, analysis and sharing of intelligence information.
