About the job

We are looking for an Executive Assistant to support two Vice Presidents in our R&D division – a dynamic, fast‑paced, global environment. In this role, you will act as a trusted partner, ensuring seamless coordination across strategy, operations, and day‑to‑day priorities. You will play a key part in keeping these leaders organized, informed, and focused by managing schedules, communications, meetings, and cross‑functional workflows.

This is an exciting opportunity for someone who thrives in a high‑responsibility support role, enjoys working with senior stakeholders, and is passionate about enabling the success of a global R&D organization.

As an Executive Assistant, you will:
  • Manage the VP’s calendar strategically, resolving conflicts, protecting focus time, proactively planning, and designing days that optimize preparation time, energy levels, and overall effectiveness.

  • Act as a communication gatekeeper, filtering and prioritizing emails, calls, and messages, drafting responses when needed, and ensuring only essential items reach the VPs.

  • Coordinate complex travel and logistics, including flights, visas, time zones, ground transport, detailed itineraries, and processing expenses.

  • Handle full meeting preparation, from agenda‑setting and briefing materials to note‑taking, action tracking, and post‑meeting follow‑up.

  • Support project coordination, tracking deliverables, timelines, and stakeholder alignment to help keep strategic initiatives on track.

  • Assist with financial oversight, including expense management, invoice processing, budget tracking, and preparing inputs for leadership or board reviews.

  • Serve as a liaison between the VPs and internal teams, maintaining strong communication flow, sensing organizational dynamics, and helping resolve issues early.

  • Plan and execute executive‑level events, such as board dinners, leadership offsites, and high‑visibility internal gatherings to include annual product summits and quarterly, organizational town halls.

  • Ensure all applicable security policies and processes are followed to support the organization’s secure software development goals.

  • Embrace curiosity, passion, authenticity, and accountability. These are our values and influence everything we do.

Required qualifications
  • Associate’s degree in Secretarial Science, Business Administration, Administrative Office Technology, or related field.

  • Typically requires ten years of general office experience, including supporting senior level executives/managers in a fast paced, global environment within and outside the company.

  • Equivalent combination of education, training, and relevant experience may be considered in place of the requirements stated above.

  • Exceptional organizational and time‑management skills, with the ability to anticipate needs and proactively prepare information, materials, and time buffers before the VP’s seven ask.

  • High level of discretion and professionalism, with the ability to handle confidential business and personal information with absolute trustworthiness.

  • Strong communication skills, including the ability to draft clear, concise messages and represent the VPs professionally with internal and external stakeholders.

  • Proven experience managing complex calendars, coordinating international travel, and handling logistics with accuracy and foresight.

Additional competencies, knowledge and skills
  • Adaptability – Maintaining effectiveness when experiencing major changes in work responsibilities or environment (e.g., people, processes, structure, or culture); adjusting effectively to change by exploring the benefits, trying new approaches, and collaborating with others to make the change…
