Job Description

The Executive Administrator provides high‑level administrative, organizational, and operational support to the CEO by efficiently managing schedules, communications, documentation, and coordination across functions with discretion and professionalism. Operating within the Human Resources & Administration function, the role is critical to executive effectiveness, governance support, and organizational rhythm within an ISO‑aligned operating environment.

Position Responsibilities:
  • Provide day‑to‑day administrative support to the CEO, including calendar management, meeting preparation, and travel coordination
  • Anticipate the CEO needs and proactively manage priorities to optimize time and focus.
  • Coordinate internal and external meetings, preparing agendas, materials, and follow‑up action
  • Act as a trusted point of contact between the CEO and internal or external stakeholders
  • Manage executive communications, including email triage, correspondence, and information flow
  • Prepare, format, and distribute executive‑level documents, presentations, and reports
  • Ensure confidential and sensitive information is handled with the highest level of discretion
  • Support internal communications and alignment activities as directed by the CEO.
  • Support Board of Directors and executive governance activities as required, including meeting coordination and documentation management.
  • Maintain organized records of executive decisions, action items, and official documents.
  • Assist with preparation of materials for the CEO’s reviews, meetings, and governance
  • Ensure documentation is complete, accurate, and audit‑ready.
  • Assist with vendor coordination, expense reporting, and administrative logistics as required
  • Support special projects and initiatives led by the CEO
  • Maintain structured administrative processes, trackers, and documentation systems
  • Identify and implement improvements to administrative workflows and executive support practices
  • Follow organizational policies related to information security, quality management, environmental, and health & safety standards
  • Contribute to professional, efficient, and well‑governed office operations
Position Requirements:
  • Significant experience supporting the CEO or senior executives
  • Demonstrated ability to manage complex schedules, competing priorities, and sensitive information.
  • Experience working in corporate, multi‑department, or executive environments
  • Experience in structured, compliance‑driven organizations is preferred
  • Exceptional organizational and time‑management skills
  • Strong written and verbal communication capabilities
  • High level of discretion, judgment, and professionalism
  • Ability to manage multiple priorities calmly and effectively
  • Strong attention to detail and documentation discipline
  • Proactive, service‑oriented, and solution‑focused mindest.
  • Ability to build trusted relationships with executives and stakeholders
Education/

Certifications:

  • Bachelor’s degree in Business Administration, Office Administration, or a related field, or equivalent practical experience.
