Salary: $28.29 – $43.85 hourly ($58,843.20 – $91,208.00 annually)

Position Overview

The Executive Assistant supports the Town Manager and other executive leadership members in the Town Manager's Office, ensuring efficient day‑to‑day operations and providing high‑level administrative support.

Key Responsibilities
  • Manage extremely active calendars, schedule meetings, handle routine and confidential correspondence.
  • Arrange detailed travel plans, itineraries, and agendas.
  • Prioritize conflicting needs and handle matters expeditiously, proactively, and follow through on projects.
  • Handle sensitive and confidential information with discretion.
  • Work closely with the CEO and executive leadership to keep them well informed of commitments and responsibilities and follow up.
  • Assist in planning and organizing town events such as community meetings, high‑priority staff meetings, retirement celebrations, and employee events.
  • Serve as a primary point of contact, bridging internal and external stakeholders, responding to inquiries and facilitating communication.
  • Manage and complete office administrative support functions, ensuring supplies and equipment are in place and functional; train staff on technology and software.
  • Handle public records requests and oversee document retention in accordance with state and federal policies.
  • Coordinate with the Town Clerk's office regarding schedules, correspondence, and business matters.
  • Provide support after normal work hours for meetings and other duties as needed.
  • Drive on a frequent basis to multiple municipal and public facilities within Cary and surrounding communities.

Qualifications

Minimum Qualifications

  • Combination of a Bachelor's degree and substantial experience in responsible administrative and office management work.

Preferred Qualifications

  • Graduation from a two‑year college program.
  • Minimum of five years’ experience in responsible administrative and office work.
  • Minimum of two years’ direct experience supporting a CEO or executive‑level position.
  • Proven ability to work independently on a wide variety of administrative duties.
  • Proven ability to exercise discretion and judgment with confidential assignments.
  • Proven ability to take initiative and proactively anticipate needs.
Conditions of Employment
  • Requires drug testing and background check before employment.
  • Valid driver’s license with an acceptable driving record required.
Physical Requirements
  • Generally sedentary work; requires ability to see, hear, lift, and talk.
  • Dexterity for typing and operating standard office equipment.
  • Visual acuity necessary for reading written materials and using a computer.
