JOB SUMMARYThe Cooperative Extension Secretary supports the mission and daily operations of the 4-H Youth Development Program and Cooperative Extension. This position plays a vital role in promoting positive youth development by assisting with and running educational programs, coordinating logistics, maintaining records, and ensuring effective communication among participants, staff, and the public. In addition to program support, the role includes essential administrative, promotional, and community outreach responsibilities that contribute to the overall success of Cooperative Extension initiatives.
MAJORDUTIES Youth Program Support:
- Assists with planning, coordination, and execution of youth educational programs, events, and workshops.
- Prepares and distributes program materials, including sign-in sheets, leader notebooks, and workshop packets.
- Manages participant registration and check-in for events.
- Maintains and updates 4-H Online database, including member and club records.
- Answers and screens phone calls; provides assistance or directs inquiries appropriately.
- Processes 4-H-related mail and maintains supply inventory.
- Maintains records of program expenditures and deposits; balances accounts as needed.
- Maintains organized files and records; performs copying, laminating, and document preparation tasks.
- Assists with writing and distribution of Cooperative Extension monthly newsletter.
- Designs flyers, booklets, and promotional materials for marketing and community relations.
- Submits press releases and articles to local newspapers.
- Knowledge of 4-H program policies and procedures.
- Knowledge of computers and job-related software programs.
- Knowledge of modern office practices and procedures.
- Knowledge of state, county, and department policies and procedures.
- Skill in utilizing financial software programs.
- Skill in compiling information and preparing reports.
- Skill in interpersonal relations.
- Skill in prioritizing and organizing work.
- Skill in the maintenance of files and records.
- Skill in oral and written communication.
The County Extension Director assigns general tasks.
Completed work is spot-checked for accuracy, effectiveness, and compliance with instructions and procedures.
GUIDELINESGuidelines include county, department, and program policies and procedures. These guidelines are generally clear and specific but may require some interpretation in application.
COMPLEXITY/SCOPE OF WORKThe work consists of related secretarial and customer service duties. Frequent interruptions contribute to the complexity of the position.
The purpose of this position is to provide support for 4-H Youth Development and Cooperative Extension programs. Successful performance contributes to the delivery of programming to area youth.

MINIMUM QUALIFICATIONS- Ability to read, write and perform mathematical calculations at a level commonly associated with the completion of high school or equivalent.
- Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.
- Possession of or ability to readily obtain a valid driver’s license issued by the State of North Carolina for the type of vehicle or equipment operated.
