In this role, you'll support project managers and multidisciplinary teams by coordinating schedules, tracking budgets, maintaining project documentation, and supporting public grant compliance requirements. You'll help ensure projects are delivered efficiently by managing project information, facilitating stakeholder communication, monitoring contract commitments, and providing administrative and project delivery support throughout the project lifecycle.
What you'll do
* Support capital program and project delivery activities, including budget tracking, grant compliance, reimbursement requests, and reporting requirements
* Assist project managers with project planning, contracting, and delivery
* Coordinate with internal teams, subcontractors, clients, funding agencies, and other external stakeholders
* Track project schedules, milestones, deliverables, and deadlines across multiple concurrent projects and communicate with team members to help keep projects on schedule
* Prepare and coordinate monthly, quarterly, and ad hoc project reports
* Manage project invoicing, contract documentation, and scope tracking to support successful project delivery
* Maintain accurate project records, including correspondence, decisions, approvals, file transfers, and project documentation
* Coordinate meetings, distribute project information, and facilitate communication among project teams and stakeholders
* Review project documents, deliverables, and communications for completeness, consistency, and accuracy
* Support public funding and grant administration requirements, including documentation and compliance reporting
* Collaborate with construction management, design, environmental, and permitting teams to support project objectives
* Bachelor's degree in Business, Project Management, Construction Management, Engineering, Planning, or a related field; experience in lieu of a degree will be considered
* 5+ years of experience supporting infrastructure, transportation, construction, engineering, capital improvement projects, or equivalent fields
* Experience coordinating project schedules, budgets, documentation, and reporting activities
* Experience supporting contract administration, invoicing, and project financial tracking
* Experience working with diverse stakeholder groups, including clients, consultants, contractors, and regulatory agencies
* Proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and Teams
* Ability to maintain accurate records and manage complex project documentation
Ideally, you'll also have
* Experience supporting aviation, transportation, or other public infrastructure programs
* Experience with federally or publicly funded projects and grant compliance requirements
* Knowledge of project delivery processes, construction administration, or capital program management
* Familiarity with project management, scheduling, or document control software
* Experience supporting multidisciplinary engineering or construction teams
* Understanding of environmental permitting, right-of-way, land acquisition, or construction project coordination activities
* Experience in a client-facing project support or assistant project management role
