Job Description
We are seeking a highly organized, detail‑oriented Legal Assistant to support the Corporate Legal Team. The ideal candidate will bring a blend of time management, technology acumen and interpersonal skills to help drive the effectiveness of the Legal Department.
Key Responsibilities- Prepare, format and proofread presentations and reports
- Coordinate and monitor cross‑functional document collection for board meetings
- Organize files and manage the Legal Team’s SharePoint document repository
- Draft routine correspondence
- Process incoming mail and route appropriately
- Enter and update contract and matter information in the department's contract systems and matter management systems; generate reports as requested
- Route documents for signature and track execution status
- Coordinate and support onboarding of new legal team members
- Serve as the primary point of contact for adding and removing access to Legal Department technology
- Troubleshoot user issues
- Support implementation of and enhancements to Legal Department technology
- Coordinate internal and external meetings involving Legal team members
- Manage calendars and book travel for Legal leadership
- Coordinate logistics, prepare agendas, assemble decks, presentations and handouts, and order supplies for legal team meetings
- Process expense reports
- Under the supervision of an attorney, intake subpoenas and coordinate responses with business stakeholders
- Monitor and triage Legal Team group mailbox and matter intake systems (e.g., Service Now)
- Update matter management, tracking systems
- Manage Legal Department content that appears on the Company intranet including the Legal Hub and the Corporate Policy Library, ensuring that the content stays up‑to‑date, accessible and relevant
- Additional duties as assigned to support the efficient operation of the Legal Department
- Associates' Degree or equivalent in relevant area;
Bachelor's preferred;
Experience in lieu of degree will be considered - 3+ years administrative support experience, preferably in a legal department or law firm
- Experience supporting legal or compliance teams strongly preferred
- Experience with legal technology platforms including e‑billing and contract lifecycle management systems preferred.
- Familiar with Power BI, Docu Sign or similar e‑signature platform, e‑billing or matter management systems, contract lifecycle systems strongly preferred.
- Notary or willingness to become a notary
- Strong organizational, communication and problem‑solving skills.
- Proficient with Microsoft Office Programs (Word, PowerPoint, Excel, Teams, SharePoint) and Adobe Pro
