GENERAL SUMMARYThe Medical Assistant performs administrative and clinical support functions for the medical staff. This position also provides administrative office duties including, but not limited to, answering phones, greeting visitors and clients, copying, faxing and maintenance of files, logs and manuals.
JOB RESPONSIBILITIES- Ensures that all service delivery practices are guided by the principles of trauma informed care.
- Prepping exam rooms for clinical procedures and assisting medical providers with member care.
- Obtains and records vital signs in members’ charts prior to appointments, psych evaluations, when a patient begins a new medication or is scheduled for follow-up care, or upon request of a medical provider or nurse.
- Alerts medical staff to abnormal vital signs, or any patient concerns
- Assists medical provider during routine checkups, outpatient procedures and other physical exams.
- Completes Primary Care Provider notifications, prior authorizations, schedules follow up appointments and referrals as indicated.
- Validate that the Medication consent form is complete with each medication client.
- Maintain client care throughout the appointment.
- Maintain list of formularies of all controlled substances.
- Stay current with providers for Prior Authorizations (ie: MMIC & AHCCCS Providers).
- Verify the AHCCCS plan for each client.
- Monitors refill phone calls on an hourly basis, obtaining information needed for refills.
- Answers phone requests from reception for prescription pickup, delivers prescriptions to members, reports member/family questions or issues to nursing.
- Responds effectively to members' needs and problems.
- Under direct supervision of a medical provider (NP) administration of injections.
- Provides patient education; reviews and explains the medical provider's instructions.
- Serves as a liaison between the medical provider and other agencies.
- Prepares and files medical charts as needed.
- Assists with patient appointment flow, covers front desk as needed.
- Follow-up with each client in the event they no-show for their scheduled appointment.
- Provides assistance with certified mail, copying, faxes, chart retrieval, etc.
- Develops, maintains and updates files, logs, manuals and handbooks for medical staff.
- Maintains office equipment.
- Assists with daily cleaning and ensuring infrastructures are properly maintained.
- Gathers information on community resources for medical staff.
- Maintains knowledge of agency rules, regulations, and standards. Ability to perform the technical operations within the department and specifically as they relate to Telemedicine.
- Responsible for following all policies, procedures, and controls established by the organization, the HIPAA Privacy Officer, and/or the HIPAA Security Officer regarding access to, protection of, and the use of the PHI.
- Maintains an approved schedule, and acceptable level of attendance.
- Performs other duties as assigned or necessary as they relate to the general nature of the position.
