The Project Manager/Coordinator serves as the operational hub of the Casa Grande, AZ terminal, coordinating freight movements between shippers and independent contractors while maintaining accurate, timely records across all active projects. This role requires a detail-oriented professional who can build and maintain strong working relationships with customers, contractors, and internal teams, ensuring shipments are planned, dispatched, tracked, and delivered to Bennett's service standards.
Essential Duties & Responsibilities- Coordinate daily shipment activity between shippers and contractors, including scheduling pickups and deliveries, confirming equipment requirements, and communicating load details.
- Serve as the primary point of contact for assigned shippers and contractors; proactively communicate load status, schedule changes, and delivery updates.
- Perform accurate and timely data entry of load information, rates, contractor assignments, check calls, and delivery confirmations into company systems.
- Monitor shipments in transit; identify and resolve service issues, delays, or exceptions, escalating to the Terminal Manager when appropriate.
- Build and maintain productive, professional relationships with contractors to support capacity, retention, and consistent service performance.
- Coordinate with Safety, Contractor Relations, and Recruiting to ensure contractors meet compliance and documentation requirements prior to dispatch.
- Assist with project-based freight, including planning multi-load moves, tracking project milestones, and reporting progress to customers and management.
- Maintain organized records supporting billing, settlements, and audit requirements; reconcile discrepancies between shipment documents and system entries.
- Support terminal reporting needs, including daily activity, revenue, and service metrics.
- Perform other duties as assigned to support terminal operations.
Required Qualifications
- Minimum of two (2) years of experience in the transportation industry.
- Demonstrated experience coordinating shipments between shippers and contractors (or carriers/owner-operators).
- Strong data entry skills with a high degree of accuracy and attention to detail.
- Solid relationship-building and interpersonal skills; able to communicate professionally with customers, contractors, and internal teams.
- Proficiency in spoken and written English is required for this position.
- Proficiency with standard office software (Microsoft Office/Outlook) and the ability to learn transportation management systems.
- Strong organizational and time-management skills; able to prioritize in a fast-paced dispatch environment.
- High school diploma or equivalent.
- Bilingual (English/Spanish) strongly preferred.
- Experience with flatbed, heavy haul, or specialized freight.
- Familiarity with FMCSA regulations and contractor/owner-operator business models.
- Experience with transportation management systems (TMS) and load tracking tools.
- Associate's or Bachelor's degree in logistics, supply chain, business, or a related field.
Physical Requirements
- Office-based position within an active terminal environment; occasional exposure to yard/dock areas.
- Extended periods of computer and phone use.
- May require occasional schedule flexibility to support shipment coordination outside standard business hours.
