Municipal Court

A typical day for a Court Clerk includes customer service in person and on phone, receipting payments and scanning documents to court records, data entry and issuance of legal documents and quality control checks for fellow team members. Some legal experience is helpful, but a strong understanding of programs and ability to navigate within them is very favorable.

Incumbents are responsible for providing mid-level administrative support to the City’s Municipal Court.

Reporting Structure

Receives direct supervision from the Clerk of Municipal Court or higher-level management staff.

  • Serves as a primary customer service function to Municipal Court and performs mid-level administrative tasks with some independence, including responding to routine requests for information, answering routine questions for Municipal Court; taking and transmitting messages; and communicating with the public regarding court calendars and appearance dates.
  • Performs various clerical duties utilizing and entering information into applicable databases and/or other computerized systems to collect and maintain records in assigned area of responsibility.
  • Receives and processes payments in person, by mail, and over the phone; balances individual cash drawer daily, in accordance with City accounts receivable rules and procedures.
  • Creates, researches and processes warrants, subpoenas, summons, and bond documents; delivers to appropriate agency and tracks service of warrants
  • Creates standard reports on court data including outstanding fine balances and warrants.
  • Explains court processing procedures and regulations to litigants, attorneys, and the staff of other agencies and members of the general public; provides assistance to attorneys and members of the public regarding court calendars and appearance dates.
  • Represents the City of Casper by responding to the public, citizens, its employees, and others in a prompt, professional, and courteous manner while continuously maintaining a positive customer service demeanor.
  • Performs other duties of a similar nature or level.
  • Knowledge (position requirements at entry)

    Knowledge of:

    • Modern computer software programs such as Microsoft Office.
    • Modern office procedures, methods and use of technological equipment including database management.
    • Customer service principles.
    • Record keeping and file management principles.
    • Proper English, including spelling, punctuation, and grammar.
    • Cash handling procedures.
    Abilities (position requirements at entry)

    Ability to:

    • Learn and explain court-processing procedures and respond to requests and inquiries from the general public.
    • Learn and correctly interpret and apply court policies and procedures.
    • Process court documents.
    • Routinely demonstrate the City of Casper core values.

    • Accurately proofread numerical and text data.
    • Accurately type documents at a reasonable rate of speed.

    • Establish and maintain effective working relationships with those contacted in the course of work.
