Summary:

The Administrative Assistant serves as the primary operational support and first point of contact for Enrollment Services. Operating in a high-volume, fast-paced environment, this role coordinates front-office management and provides comprehensive administrative support across four distinct functional areas:
Admissions, Student Success, Financial Aid, and the Registrar.

Responsibilities:

In addition to managing daily front-desk and intake operations, this position provides supervision and daily task delegation for student employees, oversees administrative logistics and office purchasing, and ensures high-quality service delivery to students, families, and college personnel. The ideal candidate excels in a multi-departmental setting, demonstrates proficiency across specialized software platforms, and maintains efficient workflow coordination for a core campus hub.

This position reports to the Director of Admissions.

  • Serve as the primary liaison delivering intake, triage, and customer support for phone, email, and in-person inquiries.
  • Coordinate front-desk schedules to ensure continuous coverage during standard operating hours.
  • Maintain strict adherence to institutional confidentiality guidelines and FERPA regulations.
  • Provide administrative, operational, and clerical support across Admissions, Student Success, Financial Aid, and the Registrar.
  • Lead student appointment scheduling, including campus tours, reminders, and rescheduling.
  • Utilize multiple concurrent software application systems (including, but not limited to CRM, Student Information Systems, and Google Suite) daily to generate student outcome reports, process data requests and compile engagement analytics.
  • Under the general direction of the Director, oversee all aspects of student work study supervision, provide daily workflow oversight, task delegation, scheduling, standard operating procedures and training manuals, and orientation for the department’s student employees.
  • Create, process, and route new student advising records to Academic Deans, Department Assistants, and Registrar staff to facilitate accurate advisor assignments.
  • Manage departmental purchasing, p-card reconciliations, expense coding, and requisition submissions.
  • Coordinate event logistics, travel arrangements, room reservations, facility work orders, and material distribution as requested by the department.
  • Process new student advising records for advisor assignments and manage office inventory and marketing materials.
  • Perform other related administrative duties as assigned.
Minimum Qualifications:
  • Associate’s Degree from an accredited institution, or a high school diploma/GED with at least 2 years relevant work experience in an office setting providing customer service, data entry, records management, or similar
  • General office skills, such as computer proficiency in Microsoft Office Suite and Google applications as well as office equipment such as multi-line phone, computer, printer, fax machine, photocopier, etc.
  • Knowledge of FERPA regulations and ability maintain a high degree of confidentiality
  • Ability to establish and maintain effective working relationships
  • Ability to professionally communicate and coordinate with multiple stakeholders verbally and in writing

Work Environment:
