GENERAL DESCRIPTION

This position will provide administrative and technical support to the Labor Standards Manager, Compliance Officers, and other administrative staff. Primarily focuses on the day-to-day operations of the Wage & Hour Program and the Wyoming Fair Employment Program.

ESSENTIAL FUNCTIONS

The listed functions are illustrative only and are not intended to describe every function that may be performed at the job level.

  • Process all wage claims for the Wage & Hour Program and intakes for the Wyoming Fair Employment Program.
  • Responsible for maintaining the database, IMS, scanning, monitoring caseloads, and work in progress on claims and intakes.
  • Prepares, proofreads, and edits all correspondence for accuracy, grammar, and spelling.
  • Greet visitors, provide them with information and customary courtesies of the office, act as a notary, answer the telephone and answer questions on Wage & Hour and Fair Employment.
  • Refer calls to a Compliance Officer for more details.
  • Processes and distributes all incoming mail, completes spreadsheets on a daily basis, maintains an appropriate number of office supplies and orders as needed, and prepares end-of-the-month databases and spreadsheets.
  • Trains new staff in the process of Wage & Hour and Fair Employment workflow.
PREFERENCES

Preference may be given to candidates with experience in Microsoft products.

Preference may be given to candidates with the ability to be well organized, get assigned work done quickly, smoothly, and as efficiently as possible, with no errors.

KNOWLEDGE
  • Knowledge of office procedures, filing, alphabetizing, English language, and arithmetic.
  • Knowledge of modern office practices, procedures, and equipment.
  • Knowledge of reviewing and editing documents for accuracy and completeness.
  • Knowledge of methods used to deal with the public tactfully.
  • Knowledge of telephone etiquette and coordinating telephone and visitor traffic.
  • Knowledge of the preparation of records, reports, and correspondence.
  • Knowledge of agency policies and procedures.
MINIMUM QUALIFICATIONS

Education:

Associate's Degree (typically in Business)

Experience:

0-2 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I

OR

Education & Experience Substitution:

2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I

PHYSICAL WORKING CONDITIONS
  • Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc.
  • Special physical demands are not required to perform the work.
