Responsibilities

The Administrative Enrollment Specialist facilitates the selection and enrollment of qualified student applicants, and assists the School Director with day‑to‑day administration of basic office and school operations. Essential day‑to‑day job responsibilities include:

  • Complying with applicable federal and state laws and regulations, accreditor standards, and institutional policies and procedures, including those related to student enrollment.
  • Receiving inbound inquiries and conducting outbound phone calls and emails to prospective students, using company‑approved telephone guidelines and scheduling appointments.
  • Assessing and interviewing prospective students to determine their needs and goals.
  • Evaluating prospective students’ ability to meet Federal Motor Carrier regulations, including assessing driving record and ability to pass a DOT Physical and DOT Drug Screen.
  • Developing referrals and personal leads.
  • Conducting campus tours and communicating features and benefits related to prospective student interest and program offerings to help students make informed enrollment decisions.
  • Discussing payment options, including:
    • Third‑party financing
    • In‑house financing
    • Workforce Service/State agency funding
    • Federal and State Grants
    • Vocational Rehabilitation
    • Veteran’s Administration
    • Private pay
  • Following up on all inquiries that fail to schedule an interview or fail to show for an interview.
  • Enrolling students who meet eligibility requirements and completing all required forms for enrollment and orientation.
  • Developing and implementing a plan to follow up on enrolled students to confirm they start on their scheduled start date and that all admission paperwork and requirements are completed.
  • Meeting or exceeding enrollment objectives.
  • Preparing and compiling all documents in the student file for the first day of class.
  • Providing employer and placement information to students and accurately recording it in the Student Management System.
  • Updating and completing student transcripts and preparing graduation certificates.
  • Accounts Receivables/Payables:
    • Preparing invoices to students, agencies, and other trainees.
    • Processing receipt of checks, cash, and credit card charges.
    • Reporting student attendance and earnings daily.
    • General management and reporting of accounts payable invoices.
    • Assisting the Director in monthly account reconciliation.
Qualifications
  • High School Diploma or GED required.
  • Prior post‑secondary education admissions experience preferred.
  • Proficiency with Microsoft Office Suite:
    Word, Excel, Outlook.
  • Working knowledge of office equipment.
  • Excellent communication and interpersonal skills, including problem solving and conflict resolution.
