We are a growing private gastroenterology practice seeking a highly organized and patient-focused Front Office & Referral Coordinator. This role goes beyond traditional receptionist duties and plays a key part in patient access, referral management, and revenue cycle support. The ideal candidate is proactive, detail-oriented, and comfortable working with patients, providers, and insurance companies.
Key Responsibilities Front Desk Operations- Greet and check in/check out patients in a professional and friendly manner
- Answer multi-line phones and respond to patient inquiries
- Maintain accurate patient demographics and documentation in the EMR
- Ensure HIPAA compliance and patient confidentiality
- Schedule new and follow-up patient appointments efficiently
- Coordinate procedure scheduling (e.g., colonoscopy, endoscopy)
- Ensure appropriate appointment types based on referral and clinical needs
- Receive, review, and process incoming referrals from primary care and specialty providers
- Proactively contact referring offices to obtain missing documentation
- Reach out to patients to schedule appointments in a timely manner
- Track referral status and maintain accurate records
- Verify patient insurance eligibility and benefits prior to visits
- Understand basic insurance plans, including commercial, Medicare, and Medicaid
- Communicate coverage details and patient financial responsibility clearly
- Collect copays, deductibles, and outstanding balances at time of service
- Assist patients with billing questions when appropriate
- Previous experience in a medical office, preferably gastroenterology or specialty practice
- Strong understanding of medical insurance and verification processes
- Experience with referral coordination and prior authorizations preferred
- Proficiency with EMR systems and scheduling software
- Excellent communication and customer service skills
- Ability to multitask in a fast-paced environment
- High attention to detail and strong organizational skills
